Prepare and issue customer invoices accurately and on time.
Record and reconcile customer payments, receipts, and adjustments in the accounting system.
Monitor accounts receivable aging reports and follow up on outstanding debts.
Resolve billing discrepancies and respond to customer inquiries in a timely and professional manner.
Coordinate with the sales and operations teams to ensure proper billing and revenue recognition.
2. Credit Control & Debt Collection
Evaluate credit applications and set credit limits based on company policy.
Conduct regular reviews of customer creditworthiness and recommend credit term adjustments where necessary.
Follow up with clients on overdue accounts through calls, emails, and formal correspondence.
Negotiate payment plans or settlements with delinquent customers while maintaining positive client relationships.
Prepare monthly debtors' ageing reports and collection forecasts for management review.
3. Reporting & Analysis
Assist in the preparation of monthly financial and management reports.
Analyse collection performance and provide insights to improve cash flow.
Support month-end closing activities, including journal entries and reconciliations.
Prepare documentation for internal and external audits.
4. Compliance & Process Improvement
Ensure all accounting activities comply with internal policies, accounting standards (e.g., MFRS/IFRS), and audit requirements.
Maintain accurate and up-to-date records of all receivable transactions.
Assist in streamlining and improving AR and credit control processes for efficiency.
Key Performance Indicators (KPIs):
Collection Efficiency:
Percentage of invoices collected within credit terms.
Accounts Receivable Turnover:
Average collection period (Days Sales Outstanding).
Bad Debt Ratio:
Amount of uncollected receivables vs. total sales.
Accuracy of Invoicing:
Percentage of invoices issued without discrepancies.
Timeliness of Reporting:
Submission of monthly AR and credit reports within deadlines.
Qualifications & Requirements:
Bachelor's Degree or Diploma in Accounting, Finance, or related field.
Minimum 2-4 years of experience in Accounts Receivable, Credit Control, or related accounting roles.
Proficient in accounting software (e.g., SQL, SAP, QuickBooks, or similar systems).
Strong understanding of accounting principles and financial reporting.
Excellent communication, negotiation, and analytical skills.
Detail-oriented, proactive, and able to meet tight deadlines.
Preferred Skills:
Experience in credit assessment and collection management.
Familiarity with financial regulations and audit procedures.
Ability to handle multiple accounts and maintain good client relationships.
Intermediate to advanced proficiency in Microsoft Excel (pivot tables, VLOOKUPs, etc.).
