The Account Executive is responsible for managing the full process of season parking pass applications, renewals, and payments through both the system and portal. This role ensures data accuracy, timely billing, and proper coordination with the operations team and clients. The position requires basic IT knowledge to handle system-related tasks, troubleshoot simple portal issues, and support users with system access or data updates.
Key Responsibilities:
1. Season Pass Management
Process new season pass applications, renewals, and cancellations accurately and on time.
Update customer and vehicle information in the system and ensure all data are complete and correct.
Monitor and maintain season pass, including issuing and deactivating access cards.
Coordinate with the Car Park Operations team to ensure smooth activation/deactivation.
Generate and issue invoices for season pass customers according to billing cycles.
Follow up on outstanding payments and update collection records in the system.
2. System & Portal Administration
Maintain and update season pass records in the online system or portal.
Perform daily system checks to ensure data synchronization and functionality.
Assist in troubleshooting basic system errors or login issues related to the season pass portal.
Liaise with operation any technical problems beyond basic troubleshooting.
Generate system reports as required by management (e.g. active users, renewals, expired passes, etc.).
3. Coordination with Customer Service Team
Collaborate closely with the Customer Service team to address inquiries related to season pass applications, renewals, and payments.
Support the team in guiding customers through the online portal and system functionalities.
Coordinate with site supervisors and managers to confirm season user listings and access card statuses.
Ensure timely and professional communication with customers through effective teamwork and follow-up.
4. Finance & Reporting
Record and reconcile season pass collections, deposits, and refunds in coordination with the Accounts team.
Prepare monthly reports on season pass sales, collections, and outstanding balances.
Support in month-end closing by ensuring all transactions are properly recorded.
Assist in audit documentation and provide supporting documents when required.
5. Other Duties
Maintain proper filing of season pass documents (hardcopy and digital).
Continuously review processes to improve efficiency and accuracy.
Undertake any other tasks assigned by the Finance Manager or Management from time to time.
Requirements:
Diploma or Degree in Accounting, Business Administration, or equivalent.
Minimum 2 years of relevant working experience in account administration or customer account handling.
Basic knowledge of accounting principles and documentation.
Proficient in Microsoft Excel and familiar with online systems or portals.
Basic IT knowledge (able to perform data entry, troubleshoot minor system issues, coordinate with IT vendors).
Good communication and coordination skills.
Detail-oriented, organized, and able to work independently with minimal supervision.
