Responsible for managing the company's accounts payable processes, ensuring timely and accurate processing of invoices, payments, and reconciliations. This role supports financial reporting, compliance, and collaboration with internal and external stakeholders.
Key Responsibilities / Accountabilities
Invoice & Payment Processing:
o Review, verify, and process supplier invoices (PO and non-PO) accurately and timely.
o Match invoices with purchase orders and receipts.
o Prepare and process vendor payments, including electronic transfers (ACH, TT) and bill payments.
o Cross-check bank transactions to ensure all payments are recorded correctly.
Hostel Rental Management:
o Maintain accurate records of hostel rental invoices and ensure timely non-PO processing.
Vendor & Internal Coordination:
o Maintain accurate vendor records and address payment discrepancies promptly.
o Collaborate with Procurement and other departments on open PO lists and repair/maintenance items.
Reconciliation & Reporting:
o Perform regular reconciliation of vendor statements and balance sheet accounts (e.g., accruals, hire purchase).
o Generate monthly vendor aging reports and ensure proper allocation of payments.
Financial Support:
o Prepare journal entries, adjustments, and inter-company billing as needed.
o Assist with month-end and year-end closing processes.
o Provide support for audits and financial analysis.
Other Duties:
o Maintain accounts payable files and records.
o Assist with ad-hoc projects and process improvements.
Key Responsibilities / Accountabilities
Education: Diploma/Degree in Accounting, Finance, or related field.
Experience: 1-3 years in accounts payable or similar finance role.
Skills:
o Strong attention to detail and accuracy.
o Proficiency in MS Excel and accounting software.
o Good communication and problem-solving skills.
o Ability to manage multiple tasks and meet deadlines.
