The Accounts Payable cum Admin\'s core responsibilities are audit, processing and timely payment of all hotel payments and responsible for administrative tasks.

What will I be doing?

As the Accounts Payable cum Administrator you will be responsible for performing the following tasks to the highest standards:

  • Account for and audit all purchase orders, receive records and suppliers\xe2\x80\x99 invoices (purchase invoices matching procedure).
  • Ensure all invoices have proper supporting documents and authorization before processing payment.
  • Prepare vouchers, including cost distributions and account codes for all suppliers\xe2\x80\x99 invoices and credit memos.
  • Balance suppliers\xe2\x80\x99 monthly statements to the hotel\xe2\x80\x99s accounts payable record.
  • Answer suppliers\xe2\x80\x99 and other parties\xe2\x80\x99 queries relating to accounts payable.
  • Carry out any other reasonable duties and responsibilities as assigned.
  • To prepare and submit bank mandate/change of signatories to banks.
  • To liaise with local authority on application/renewal of hotel licences.
  • To review, update and keep record service/maintenance/tenancy/entertainment/musicians contracts for the hotel and update copy of the insurance policy of the tenants and suppliers/contractors for record.
  • To liaise with local insurance brokers for any hotel general insurance renewal including vehicle\xe2\x80\x99s insurance and road tax application.
  • To coordinate departmental/section meeting and prepare minutes.
  • To maintain and monitor annual /medical/leave plan of the team.
  • To maintain, record, track and organise assets tagging exercise.
  • To coordinate and manage the Finance Department administrative tasks.

An Accounts Payable cum Admin serving Hilton Brands is always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should maintain the attitude, behaviours, skills, and values that follow:
  • University degree and above.
  • 1-2 years of relevant experience.
  • Attention to details and good interpersonal skills.
  • Proficient in English and Malay to meet business needs.
  • Possess system skills in Check SCM, SUN.
  • Proficient in Microsoft Windows, Word, Excel, etc.
