Job Description

We are seeking a detail-oriented and organized Administrative Assistant to manage the Goods Received Note (GRN) process. The ideal candidate will be responsible for ensuring the accurate and timely documentation of all incoming goods. This role is crucial for maintaining accurate inventory records, facilitating smooth payment to suppliers, and ensuring the efficiency of our supply chain and accounting departments.

Key Responsibilities

Goods Receipt and Documentation:

Receive, inspect, and verify incoming goods against purchase orders and delivery notes. Prepare and generate Goods Received Notes (GRNs) for all accepted deliveries, ensuring accuracy in quantity, quality, and item description. Record any discrepancies, damages, or shortages and report them to the relevant department (e.g., procurement, quality control).

Data Entry and Record Keeping:

Accurately input GRN data into the company's inventory management system or ERP software. Maintain an organized and secure filing system for all physical and digital GRNs, delivery notes, and purchase orders. Prepare and distribute reports on daily and weekly received goods, discrepancies, and outstanding orders.

Coordination and Communication:

Act as a point of contact for suppliers regarding delivery schedules and documentation. Liaise with the purchasing, warehouse, and finance departments to ensure a smooth flow of information. Provide support to the accounts payable team by cross-referencing GRNs with supplier invoices for the three-way matching process.

General Administrative Duties:

Assist with inventory audits and stock reconciliation as needed. Handle general clerical tasks such as answering phone calls, responding to emails, and managing correspondence related to goods receipt. Support the larger team with other administrative tasks as assigned.
Skills and Qualifications

Proven experience in an administrative or clerical role, preferably within a logistics, procurement, or warehouse environment. Strong understanding of inventory management principles and the Goods Received Note (GRN) process. Excellent attention to detail and a high level of accuracy in data entry and documentation. Proficiency in Microsoft Office Suite (especially Excel) and experience with an ERP or inventory management system. Strong organizational and time-management skills with the ability to handle multiple tasks efficiently. Excellent verbal and written communication skills. Ability to work independently with minimal supervision and as part of a team. A high school diploma or equivalent is required; an associate's or bachelor's degree in a related field is a plus.

Pay: RM1,700.00 - RM2,200.00 per month
