  • Familiar with local labor laws and immigration processes
  • Strong administrative and organizational skills.
  • Proficient in MS Office and HR software.
  • Good communication skills
  • Ability to manage multiple tasks and meet deadlines.

Job description:
Job Title: Admin Executive
Department: Human Resources / Administration
Reports To: HR & Admin Manager
Key Responsibilities:
Foreign Worker Recruitment
  • Coordinate the recruitment process of foreign workers from source countries (e.g., via agents or government-approved channels).
  • Liaise with approved recruitment agencies and ensure compliance with regulatory requirements.
  • Prepare and submit all necessary documents for approval (quota application, FWL, etc.).
  • Arrange interviews, selection, and approval processes for foreign workers.
Permit Application & Renewal
  • Handle work permit (WP), employment pass (EP), special pass, and visit pass applications, renewals, cancellations, and check-outs.
  • Ensure timely renewal of permits to avoid penalties or overstays.
  • Maintain up-to-date knowledge of immigration and regulatory changes.
Documentation & Compliance
  • Maintain accurate and updated records of all foreign workers, including passports, permits, contracts, and insurance.
  • Ensure compliance with government policies and company procedures.
  • Prepare reports for management on workforce status and permit expirations.
Administrative Support
  • Update and manage the foreign worker database and employee records.
  • Assist in organizing medical check-ups, SIP (Settling-In Programme), and other onboarding requirements.
  • Support audits or inspections by authorities
  • Manage correspondence with agencies, embassies, and government bodies.
