Job Description

KEY RESPONSIBILITIES AND ACCOUNTABILITIES:



1. Perform Administrative Tasks



Responding to email and phone messages, assisting with customer requests and questions, coordinating meetings, compiling meeting materials and documents, creating presentations, booking travel and providing executive staff with support as needed. Type and word-process various documents and electronic information.

2. Provide Job-Specific Operations Support



Create financial and statistical tools and reports using spreadsheets. Manage, organize, and update relevant data using database applications. Communicate and provide information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups. Analyze and interpret financial statistics and other data and produce relevant reports. Approve decisions, requests, expenditure and recommendations on behalf of senior people in their absence, according to agreed guidelines and policies.

3. Plan and Manage Meetings



Responsible for planning all meetings that involve senior management. Responsible for sitting in on the meeting, conferences and project team activities, taking meticulous notes, as well as keeping the meeting on task.

4. Develop and Maintain Filing System



Create and maintain a filing system for both paper and electronic documents. This involves the use of Microsoft Office Suite.

5. Develop and Implement Office Policies and Procedures



Adhere to procedures relating to the proper use and care of equipment and materials for which the role has responsibility. Adhere to stated policies and procedures relating to health and safety and quality management. Interpret instructions and issues arising, and then implement actions according to administrative policies and procedures.

6. Coordinate with Upper Management



Work closely with upper management to coordinate strategies and manage employee efficiency. Since the Admin Executive has a good view of overall company activity, they can easily relay information to upper management. Responsible for scheduling both personal and professional tasks that the executive needs to complete. This involves organizing tasks by level of urgency, taking calls and communicating via email.

QUALIFICATIONS AND EDUCATION REQUIREMENTS



Diploma or Degree in any business-related field. Min 3 years in similar capacity.
Job Types: Full-time, Permanent

Pay: RM2,500.00 - RM3,500.00 per month
