Job Description


We are seeking highly organized and detail-oriented Admin Executive to join our team. The Admin Executive will be responsible for managing administrative tasks, coordinating office activities, and providing support to Offshore Project Team. The ideal candidate will have excellent communication skills, strong problem solving abilities, and the ability to multitask effectively. s : Provide assistance for employee benefits programs, including enrollment, changes, terminations, and addressing insurance claims inquiries. Assist in handling work permit applications and quotas for foreign workers. Assist to coordinate company events and meetings. Verify timesheet Update, maintain employee data, leaves, and medical records. Coordinate employee training requirements. Assist in verifying expense claims and submit them to the Finance department. Maintain records and place orders for company PPE. Assist in updating monthly manhours reports for the EHS department. Verify employee/contractor timesheets for payroll and payment processing. Arrange travel logistics for employees, including flights, accommodations, and travel visas. Arrange pre-employment and surveillance medical check-ups for employees. Offshore Administrative Support: Arrange and coordinate travel logistics for offshore crew, including flights, accommodations, transportation, and necessary documentation like visas and work permits. Maintain offshore employee records and coordinate offshore crew training and medical requirements. Assist in verifying and processing offshore expense claims and freelance offshore crew invoices. Verify offshore days/allowance against DPR or DOR. Primary contact with the project client to coordinate crew arrangements. Keep offshore crew informed and prepared for offshore projects. Be on standby and ready to assist with crew mobilization and demobilization, including coordinating travel arrangements. Job Requirement : Minimum 2 years of experience in similar capacity Proficient in Microsoft Office/ Excel Independent and able to work with minimal supervision Bilingual in English and Bahasa Melayu, written and verbal fluency Detailed and meticulous and able to multitask Able to start immediate or within short notice If you are a motivated and proactive individual with a passion for administrative work, we would love to hear from you.
