Job Description


Job Summary Admin Executive is responsible to ensure smooth operational of Admin Department and and executing day-to-day activities. He also responsible in oversee lower level of Admin employees. Job Responsibilities Dispatch & Mailing

  • Supervise and monitor the dispatchers.
  • Monitor and ensures the franking machine is working well and maintenance of the machine is done as per schedule, including credit top up and etc.
  • Ensure that all receiving and sending parcel, letters, documents and goods are recorded and completely done.
  • Ensure that all claims for dispatch, including petrol, car, tolls are processed accordingly.
Fleet & Transportation
  • Supervise and monitor the drivers.
  • Responsible and monitor for the College motor vehicles\xe2\x80\x99 maintenance & repairs.
  • Manage car and driver request for any trips, including preparing a weekly driver schedule.
  • Renew any licenses, insurance, road tax for all vehicles.
Building & Facilities
  • Manage any booking or request to use the facilities.
  • Manage to record and update any assets list in accommodations, tenants list and other related data about the building and facilities.
  • Ensure the preservation of the building condition, including doing regular inspections.
  • Manage any relocation, building emptying, changing tenants, handover and clearance of the building and facilities.
Special Task & Event
  • Responsible to do planning, itinerary and works delegation for any events.
  • Set up and prepare with other department\xe2\x80\x99s help to held the events.
  • Ensure the events running smoothly as per plan.
  • Coordinate & communicate with other departments. Agencies and government bodies.
  • Undertakes any other duties as directed by the management.
Main Services
  • Supervise and monitor the workers & service.
  • Liaise and communicate with the contractors to discuss any problem, planning and any actions to be done.
  • Ensure all services are completely done as per terms and scope of services in the contract, including receiving the correspondence and complaints, and solve the issues.
  • Doing regular inspection of the services, together yearly assessment to the contractor.
  • Record and manage the filings of all data, payment, issues, complaints or report made by other staff, students and departments.
Tendering processes
  • Handle tendering processes completely from RFP until awarding contract.


Annual Operating Plan (AOP)
  • Planning & Drafting the AOP for Administration Department.
Job Requirement
  • at least Bachelor Degree in Administration or any related qualifications and/or commensurate with working experience
  • Possess at least 3 years of experience in working at a boarding school setting.
  • Possess a HSE certification is an added advantages
  • Fresh graduates are welcomed to apply.
