Job Description


  • Filling & Index Preparation (Memo/ Documents/ Filling from Each Units);
    Staff Accommodation Management (Maintenance, Inventory Updates, liaise with owner, other related matters & ect.);
  • Liaise with MDS on annual & monthly renewal license/permit/services;
    Ensure the cleanliness and tidiness of the pantry and office area at all times;
  • Serving beverages (Coffee or Tea) to visitors when required;
  • Assist to arrange refreshment and wash dishes after refreshment;
  • Canteen Subsidy Head Counts on weekly basis and coupon issuance;
  • Keep stock of office supplies and place orders when necessary;
  • Manage agendas/travel arrangements/appointments etc. for the upper management;
  • Staff Attendance Summary on Daily basis;
  • Manage phone calls and correspondence (e-mail, letters, packages etc.);
  • Monitor the usage of outgoing phone call;
  • Track stocks of office supplies and place orders when necessary;
  • In charge of Admin machineries (photocopy, fasmillie, telephones, paper shredder,ect);
  • Visitors / Guest Management & related matters liaise with Security team;
    Petty Cash Management;
  • Company Vehicles Management & Usage & Approval (Out of Site);
  • Take over subordinate task whenever absent;
  • Arrange the courier service as instructed by Administrator;
  • Record the Company Vehicles Condition & Odometer on weekly basis with form provided;
  • Make sure the Vehicle Requisition Form is completely filled in and check before and after the usage;
  • File the relevant forms accordingly as instructed by Administrator;
  • Responsible for daily monitoring cleanliness and hygiene in the admin and surau building including the canteen meeting room;
  • Ensure cleanliness of ladies and gents washroom on daily basis;
  • Assist Administrator in organize and preparation of refreshment for Visitors/Guests;
  • Notify Administrator on the arrival of unexpected guest/visitors;
  • Assist Administrator/Engineer/Supervisor on requirement basis;
  • Scheduling and coordinating meetings, interviews, events and other similar activities;
  • Make sure that day-to-day office tasks run smoothly;
  • Perform other duties as assigned by your superior.
