Job Description


The Administrator is responsible for overall administration, including official and confidential matters, of office. He/she also works in close co-operation with Operations and Office Secretaries. 1. Confidentiality Handle all confidential documents and correspondence professionally, such as faxes, letters, tenders, contracts, commercial information, employee information, management/ corporate documents, etc. 2. Primary Duties and Responsibilities 2.1 Incoming Official Documents for the attention of Director/ General Manager \xe2\x80\xa2 All documents; letters, faxes, tenders, proposals, etc. for the attention of Director/ General Manager must be forwarded without delay by email or courier. \xe2\x80\xa2 File and distribute copies to Deputy General Manager for record, reference, discussion and action. 2.2 Databases \xe2\x80\xa2 Utiliti bill records. \xe2\x80\xa2 File copy for reference. \xe2\x80\xa2 Record licence number. \xe2\x80\xa2 Record licence validity. \xe2\x80\xa2 Record minimum period (3 months) required to submit application for renewal prior to expiry. \xe2\x80\xa2 Check procedures and prepare all documents for renewal. \xe2\x80\xa2 Record validity periods of all insurance policies. \xe2\x80\xa2 Company insurances \xe2\x80\x93 Malaysia File copies for reference. Record full titles of all insurance policies. 3.Specific Additional Duties 3.1 Stationery \xe2\x80\xa2 Conduct stock check weekly and arrange for replenishment. 3.2 Minutes of Meetings \xe2\x80\xa2 Rotate with Operations and Office Secretaries for preparing minutes of meetings (HSE meetings, office weekly meetings, etc.). 4. Principal Working Relationship \xe2\x80\xa2 Work with Deputy General Manager for efficient and smooth administration of office. \xe2\x80\xa2 Co-operate with Operations and Office Secretaries. 5. Education/ Experience Requirements \xe2\x80\xa2 Degree or Diploma in Administrative Studies, Corporate Secretarial or equivalent Computer and Microsoft Office. \xe2\x80\xa2 Good interpersonal and communication skills. \xe2\x80\xa2 Responsibility and team work.
