Requirements

  • Minimum 1-2 years of working experience in administrative or office support roles.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Good command of English and Chinese (both written and spoken).
  • Strong organizational skills with attention to detail.
  • Able to multitask, prioritize, and work independently with minimal supervision.
  • Positive working attitude, responsible, and a good team player.
Responsibilities
1. Office Administration & Coordination
- Handle daily office operations, including document filing, data entry, and correspondence.
- Maintain office supplies, stationery, and equipment inventory.
- Coordinate office maintenance, repair, and cleaning schedules.
- Manage incoming and outgoing mail, courier, and delivery arrangements.
2. Documentation & Record Management
- Prepare, format, and organize documents, letters, and reports.
- Maintain and update company records, staff files, and vendor information.
- Ensure proper document archiving and confidentiality of sensitive information.
3. Financial & Procurement Support
- Assist in preparing payment vouchers, petty cash claims, and expense reports.
- Collect and verify invoices, bills, and receipts before submission to Finance.
- Support procurement processes such as getting quotations and purchase orders.
4. HR & Operations Support
- Assist HR in recruitment, onboarding, and staff attendance tracking.
- Coordinate staff welfare matters (medical claims, leave forms, allowances, etc.).
- Help organize company events, meetings, and training sessions.
5. Communication & Coordination
- Liaise with internal departments and external vendors for smooth daily operations.
- Draft and send formal emails, letters, and memos when required.
- Support management in scheduling meetings, appointments, and travel arrangements.
6. General Support
- Perform ad-hoc tasks or projects assigned by management.
- Ensure a positive, organized, and efficient office environment.
