RESPONSIBILITY Secretarial Works i) Control of external origin document. General Administrative Works ii) Handling of quit rent & premium payment related documents. iii) Identify all applicable licenses and insurances. iv) Notifies insurance company of changes in property or equipment affecting insurance coverage. v) Files records of insurance transactions and keeps calendar of premiums due and expiration dates of policies. vi) Ensure marine cargo insurance is purchased for each container transaction as directed by the Purchasing Manager. vii) Identify all company vehicle and register into Company Vehicle Registration List. viii) Monitor the expiry dates and fill up the renewal application forms for Bank Guarantee. ix) Monitor the expiry dates of Road Tax, Puspakom Test, Vehicles Insurance, Building Fire Insurance, Staff Personal Accidental Insurance, Machinery & Equipment Insurance, Boiler Insurance, and Money Insurance. x) Undertakes legal communication and registration processes. xi) Responsible to ensure all the licenses are renewed and up to date such as Trade License, Lesen Penjaja / Gerai, Lesen Runcit / Borong, Sijil Pengesahan Halal issued by Jabatan Kemajuan Islam Malaysia and Masjis Islam Sarawak, License for meat Factory Processing, Surat Kuasa (Minyak Diesel), Lesen Racun issued by Department of Safety & Health (DOSH) and other related matters. xii) Operates office machines such as typewriter, adding, calculating, and duplicating machines. Office Management xiii) Ensure the office premises and facilities are well maintained. xiv) Raise a general purchase, such as purchase of Stationery, Office Equipment / Furniture. xv) Control purchase of stationeries and medicines. xvi) Assist in monitoring water and electricity usage and payment. xvii) Compiles data from vendor invoices and supporting documents to verify accuracy of billing data and to ensure receipt of items ordered by performing the following duties. xviii) Determine and set minimum quantity level for all office controlled stock. xix) Ensure the execution of vehicle pass procedure. xx) Ensure the cleanliness and hygiene of the office premises and facilities are well maintained. xxi) Ensure the effective execution of security works procedure. xxii) Implements and manages fixed assets and properties management system. xxiii) Compiles data on fix-assets, tag and record of fix-assets movement and disposal for proper management. Event Management xxv) Coordinate events in terms of location resources, budgeting, establish date and time, etc. xxvi) Proper planning for hampers / gifts arrangements. Other xxvii) Undertake any other related by superior from time to time.
