Job Description


  • Diplo,ma or Bachelor\'s degree in Business Administration, Management, or a related field.
  • Proven experience as a Personal Assistant or Admin Executive, preferably supporting top-level executives.
  • Strong organizational and multitasking skills to handle various responsibilities simultaneously.
  • Excellent communication and interpersonal skills to effectively liaise with internal teams and external parties.
  • Proficient in office management software and tools.
  • Familiarity with budgeting and expenditure monitoring.
  • Experience in overseeing administrative functions such as office maintenance, supplies, and services.
  • Knowledge of travel coordination and accommodation arrangements.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Previous experience in team management and development is an advantage.
Skills:
  • Detail-oriented with strong problem-solving abilities.
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint).
  • Excellent time management skills to meet tight deadlines.
  • Ability to adapt to a fast-paced and dynamic work environment.
Responsibilities
  • Coordinate and manage the personal assistant functions for the Director, including overseeing business trips, travel arrangements, and personal matters.
  • Supervise and administer the organizational and team-wide administrative functions.
  • Administer various tasks within the administrative portfolio, such as office maintenance, supplies, front office services, copier and fax services, dispatch and courier services, refreshment and cleaning services, document and mail movements, building administrative, office security, and safety matters.
  • Supervise and coordinate staff travel arrangements, including transportation and accommodation.
  • Oversee service agreements/contracts, ensuring compliance and validity.
  • Take charge of the Admin budget and monitor expenditures.
  • Prepare related documents and updates for the 3rd party payroll company.
  • Undertake any other tasks or projects assigned periodically.
