Job Description

:



1. Document Administration



Prepare, update, and organize event documents such as appointment letters, permit applications, participant lists, event schedules, and meeting minutes. Maintain all documents in both physical and digital formats according to the established filing system. Assist in the process of collecting signatures, printing event materials, and preparing official copies.

2. Communications & Correspondence



Prepare official letters for vendors, agencies, guests, or event participants. Organize and distribute internal memos, invitation emails, and registration forms. Respond to basic event-related inquiries via phone, email, or online systems.

3. Meeting and Event Support



Assist in preparing meeting materials (slide decks, reports, attendance lists). Arrange meeting logistics such as venue, equipment, and participant attendance. Support the event team on event day by coordinating checklists, preparing materials, and verifying participant attendance.

4. Basic Financial Support



Manage petty cash, records of office supply purchases, and vendor invoices related to events. Assist in reviewing purchase forms, invoices, and payment attachments before submission to the finance department.

Job Requirement:



Diploma in Administration, Office Management, or a related field. Minimum 1 year of work experience in administrative roles, preferably with experience in event support or program coordination. Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace. Skilled in typing official documents and organizing files systematically. Detail-oriented, trustworthy, quick to learn, and capable of working independently as well as in a team. Able to work under pressure and flexible with time when needed. Experience in event organization or protocol units is an advantage. Basic design skills (Canva/PPT) and basic communication in English. Customer-friendly, well-groomed appearance, and effective in supporting the team during on-site events.
