THE POSITION

The Administrator associates with all levels within the AH co-workers in the OPU office, as well as colleagues from the ROPU Office to coordinate and organize activities. The tasks for Administrator are to provide secretarial and administrative support to the AH Business team. The Administrator is to support and facilitate activities pertaining to the department and company.

Tasks & responsibilities

The OPU AH Administrator is responsible for the operative execution of administrative services to the AH Business team.

The OPU AH Administrator is responsible for providing secretarial and administrative support to the AH Business team which entails:

Raise Purchase Order and handle invoices submission process.

Manages vendor creation

Monitoring on monthly/yearly accruals process to ensure progress within the closing timeline.

Finance and Documentation system handling.

Manage filing, updating, retrieval & archiving of information & documents, records retention.

The OPU AH Administrator is responsible to provide support on internal meetings, conferences, and workshops; and to coordinate travel activities for the Department Head and liaise with other Functional Administrators on Function Heads\' travel. Which includes:

Arranging and managing the logistics for meetings, trainings, appointments, events & teleconferences.

Preparing the agenda & writing/distributing minutes, flight bookings, hotel reservation, ground transportation, meeting registration, meals, refreshments, stationery, collate presentation slides, as needed from the department.

The OPU AH Administrator is responsible for working on ad-hoc projects as directed.

Administrative Assistant supports knowledge and skill sharing within the AH business.

Administrative Assistant builds relationships within OPU and ROPU admin team.

Requirements

Able to multi-task competently.

Thrives in a team environment, yet able to work independently.

Able to interact with people at all levels.

Strong in MS Office (Excel, Word, Note, Outlook, Team, Shared Point and PowerPoint).

Knowledge / handling of internal Finance systems / tools.

Reporting skills.

Communication skills.

Diploma / Bachelor\'s Degree in Business related field.(Preferred: Administration)
