We are currently seeking an experienced professional to join our team in the role of Administration Associate.

The Associate will be responsible for the timely and accurate settlement of Treasury products on behalf of a number of our HSBC HBEU sites. The role supports end-to-end operations covering trade validation, confirmation, settlements, and investigations in adherence to the relevant currency funding and payment cut-offs. Provide an excellent level of service and support taking ownership of issues where applicable. Provide a single point of contact for the satellite sites and enhance the operational relationship between HBEU, group offices and their customers. Continually evaluate existing controls, challenging current procedures and suggesting enhancements as appropriate.

Responsibilities:

  • Acquire and update knowledge on procedures related to relevant processes under HBEU Operational Services.
  • Timely confirmation, settlement and investigation of trades
  • Provide clients with an excellent HSBC experience, being accountable and taking ownership of all customer enquiries until resolution.
  • Monitor trade exceptions to avoid late or non-settlement
  • Assist onshore counterparts and front office with issues or queries
  • Work is processed and completed within time scales in accordance with procedures.
  • Process productivity and quality targets are achieved, and high level of customer service maintained at all times. Issues / problems are fully resolved or escalated, as appropriate. Appropriate action is taken to prevent recurrence.
  • Exhibit ownership over tasks performed.
  • Ability to identify areas of control, process and cost weakness
  • Support implementation of control agenda
  • Ability to define appropriate solutions or change initiatives to drive through efficiency improvements
  • Ability to identify opportunities where additional controls can be implemented to maximize efficiency.
  • Awareness of the controls framework, taking a pro-active approach to reduce Operational risk
  • No repeat errors or audit point
  • The individual will need to maintain a wide group of stakeholders not only within GSC Operations but across other areas i.e. Onshore Business Partners, Front Office, Regional stakeholders, etc. Additionally, the role requires continuous process knowledge training on procedures related to different activities. The role needs to work independently, productively and professionally, where assigned tasks are completed within established timeframes, regular assignments are completed without reminders or additional requests, continuously improving customer service and productivity. As the role supports various sites in different time zones, flexibility on covering different work shifts may be required.
  • The Associate will be required to obtain appropriate authority per the existing process for all procedural changes.
  • To abide by the Group Compliance Policy by containing compliance risk in conjunction with the relevant Compliance Department. The term compliance embraces all relevant laws, rules and codes with which the business has to apply.
  • Maintains HSBC internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators.
  • Understand, follow and demonstrate compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business in which you are involved, specifically Internal Controls and any Compliance policy including, inter alia, the Group Compliance policy.
  • The requirement for each employee to be aware of the Operational Risk scenario associated with their role and to ensure that all actions during their employment with HSBC take account of the likelihood of operational risk occurring.
Requirements

What you will need to succeed in the role:
  • Degree in finance/management/business administration or related discipline.
  • Team player who develops self and others to contribute to the success of the business and the HSBC Group.
  • Good all-round product knowledge and MS Office skills and a willingness to further develop both.
  • Show initiative, a positive attitude to change and a flexible approach to working hours.
  • Ability to multi-task and work accurately in a demanding environment and to adhere to a variety of strict deadlines.
  • Knowledge on Treats BOS, TCM, FXMM, and Fixed Income preferred and additional European language an advantage.
  • Understand and ensure compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business.
  • Able to work under challenging environment with tight timelines.
  • Background on European Markets and Infrastructure Regulation would be an advantage.
  • Willing to work during holidays and weekends.
  • Potentially willing to work non-standard Asian hours (e.g. UK hours / US hours).
Due to the urgent hiring need, candidates with immediate right to work locally and no relocation need will be prioritised.

The chosen candidate for this role will be required to undergo enhanced vetting. Subject to local laws, this will require the individual to satisfactorily pass a series of additional checks as part of the recruitment process and on an ongoing basis, if appointed to the role.
