Job Description

Administration Executive Role:



1. Tenancy Agreements



Maintain and monitor tenancy agreements for HQ and branches, including due dates, termination, renewal, and new tenancy arrangements. Liaise with landlords, Group Legal, and Group Secretarial teams on tenancy clarification or renewal matters and follow up on progress.

2. Purchase Orders



Prepare and issue purchase orders for office supplies, IT equipment, services, and branch/division requests. Monitor office supplies, research and liaise with suppliers or contractors, and resolve quotation, order, or billing issues. Ensure timely restocking of stationery, printed materials, groceries, and office equipment.

3. Company Licenses



Liaise with government bodies or related agencies for license applications, renewals, terminations, or portal issues. Prepare and compile necessary documentation and authorization letters for submission (e.g. MOTAC, DBKL, MATTA, MOF, etc.). Ensure company compliance with licensing regulations and maintain proper records.

4. Office Equipment and Facilities Maintenance



Ensure all office facilities and equipment are in safe and good working condition. Coordinate repair and maintenance work such as air-conditioning, lighting, piping, and other building services. Report and follow up on photocopy machine issues and consumable replacements.

5. Stationery and Staff Requests



Handle requests and arrange required items for HQ and branch staff (e.g. uniforms, pre-printed documents, SIM cards, etc.)

6. Suppliers and Utility Services



Prepare documentation and assist with HQ and branch service requests. Monitor utility services and prepare monthly payments. Liaise with suppliers to clarify billing issues and ensure smooth service delivery. Oversee sundry services such as cleaners, security guards, and office maintenance. Prepare authorization letters for relevant applications (e.g. TNB, TMB).

7. Filing System



Develop, maintain, and update documentation and filing systems for administrative records.

8. Other Duties



Assist in organizing company events and staff activities. Undertake any other ad-hoc administrative tasks as assigned by management.

Requirements:



Candidates must possess at least a

Diploma in Business Administration

or a related field. Minimum

3-5 years of working experience

in an administrative role. Excellent proficiency in

MS Office

and familiarity with office management systems or software. Good command of

spoken and written English

. Proactive, responsible, and able to work

independently in a fast-paced environment
