Position Summary

Administrative Assistant will work under the direct supervision of the Program Manager and Senior Program Director to support our team in setting up and managing the processes and procedure to ensure smooth running of the program and to facilitate a conducive working environment. This is a full-time role, and the position will be expected to be fixed term for approximately 4 years of duration.

The Administrative Assistant will contribute toward team goals and include specialized individual responsibilities. Duties include but are not limited to:

  • Manage the recruitment, on-boarding, and off-boarding process of internal Milliman volunteers, such as creating application forms, advertising within Milliman, consolidating applications, sending out email communications and analysis of time sheet and expense data
  • Organize travel reservations for team members and volunteers, such as hotel and flight bookings, visa arrangements as required
  • Manage internal team communications including consolidating timesheet, resource planning, email updates and coordinating team meeting schedules
  • Draft business letters where required
  • Update and perform document formatting for team members (Powerpoint, Word)
  • Other ad-hoc administrative support and co-ordination of the program

  • Resourceful, service-oriented, dependable with the ability to learn quickly and work independently
  • Accuracy and strong attention to detail
  • Effective communicator with good interpersonal skills
  • A polished demeanor and ability to interact professionally and amicably with all levels of staff
Skills and Qualifications Required
  • 1+ years of prior administrative experience
  • Intermediate or higher knowledge of Microsoft Office applications, including Teams, Word, PowerPoint, Excel, and Outlook, as well as Adobe Acrobat
  • Willingness to work outside of business hours to accommodate different time-zones (minimal), as necessary
  • High fluency and confidence in written and verbal English
Skills and Qualifications Preferred
  • Degree holder from any discipline
  • Work experience in developing countries
  • Demonstrated ability to collaborate with a multitude of stakeholders and teams/departments
  • Conscientious and flexible, with a great work ethic and a team-player attitude
  • Demonstrated integrity, trustworthiness, and respect for confidentiality
  • Enthusiastic, helpful attitude with a willingness to learn
  • Ability to listen to feedback and integrate as appropriate
Location
  • MIC@M team is centered in Appleton, Wisconsin
  • Position will be placed in the Kuala Lumpur Malaysia office, with the option of hybrid work

This program is a joint initiative between Milliman Inc. and the United Nations Development Programme (UNDP) which aims to build the actuarial profession and expertise in developing countries, helping predict and prepare for risks in these uncertain times. The UNDP-Milliman Global Actuarial Initiative, announced as part of the 77th United Nations General Assembly, will seek to enable insurers, pension funds and social security administrations to better manage risks and in turn offer innovative and affordable insurance solutions for all. The MicroInsurance Centre at Milliman (MIC@M) will drive the initiative from Milliman, and the position will reside in the MIC@M.
