Job Description

ADMINISTRATIVE EXECUTIVE



Responsibilities:



Customer Order :

1. Acknowledge Sales Order

2. Ask Account to help create new customer/project code in GP system

3. Obtain budget from Head of Company (HOC).

4. Create new Contract/Order details in GP system based on Customer sales order.

5. Update project code list.

To Vendor:

1. Obtain quotation

2. Issue PO and email to supplier.

3. Follow up the ETA

4. Ask account issue payment to supplier for COD terms (must get approval from HOC first)

5. Matching of PO with supplier invoices and delivery orders in GP system

6. Update Stock list

7. Update Supplier invoices (30 days terms) to creditor list.

To Customer:

1. Issue Delivery order and pass to engineer for delivery to site (for project)

2. Issue Invoice (for project)

3. Issue Invoice and delivery order (for Trading)

4. Liaise with store for delivery arrangement (For Trading)

5. Update debtor list

6. Follow up the due date invoices.

ISO Documentation

1. Create Folder for ISO documentation filing

2. Update Jobsheet number in Project code list.

3. Issue New External Provider Evaluation

4. Update Approved External Provider List & External Provider Performance Assessment

5. Issue PO to external provider

6. Issue Job Sheet

7. External Provider D/O

8. Incoming Goods Inspection" Rubber stamp"

9. Update Stock list

10. Issue Stock withdrawal form

11. Issue DO to Customer

12. Follow up customer delivery Date.

13. Update On time delivery report (if any project completed)

14. External Provider Performance Assessment (end year)

15. Follow up expire date of Company, engineer's and Subcon License (CIDB, Niosh, MBSA and etc if applicable)

Others (Ad - Hoc)

1. End and early Months sent supplier/Subcon invoice to accounts for payment preparation

2. Key in all office bill into GP system

3. Posting invoices and delivery orders

4. Sent Bank statement and Petty cash book to Accounts

5. Check Engineer and Director Claim

Administration Work

1. Enthu Certificate Renewal (CIDB, MOF, SPAM, MAESCO, MBSA)

2. Engineer's Green Card and Niosh Renewal

3. Responsible for any registration of the company.

Logistic

1. Responsible for receiving and delivering goods.

2. Stock Card

3. Responsible for update office stock list and ISO stock list.

Office Supplies:

1. Office refreshment

2. Stationery

3. Cleaner Supervisor

Requirement:



Candidate must possess at least a SPM/Diploma

Minimum 1 years of working experience in the related field

Committed, independent, self motivated, good initiative and good organizing skills

Able to work independently and work under pressure

Good communication skill

Required Language , English & Malay

Fresh graduate is encouraged to apply


Job Type: Full-time

Pay: RM1,700.00 - RM3,000.00 per month
