Seki Aoi Techno (Malaysia) Sdn. Bhd. is seeking an enthusiastic and organized Administrative/ Human Resource Intern to join our team in Bukit Rambai, Melaka. This is an internship position, offering valuable hands-on experience in a dynamic and fast-paced environment.
What you'll be doing
Providing administrative support to the admin and operations teams
Ensuring standards in the maintenance and upkeep of office facilities and equipment/assets, including rest area supplies such as vending machines and water dispensers.
Manage and coordinate servicing of company vehicles, including regular maintenance, repair scheduling, road tax and insurance renewals, cleanliness, and ensuring roadworthiness at all times. Also responsible for tracking service intervals and maintaining vehicle-related documentation.
Generate business documentation, prepare presentations and spreadsheets, and coordinate the distribution of training materials (e.g., refresher training on ESH and assessments)
Assist the Admin Executive in maintaining office services by:
Organizing office operations and procedures, including issuing memos, maintaining agreements and assist in coordinating company events such as staff gatherings, and official functions.
Preparing for permit and license renewals
Monthly forecast exercises for administrative expenses (e.g., office supplies, utility bills etc.).
Coordinate and oversee yearly preventive maintenance activities for office and factory facilities, as well as forklifts, to ensure safety, efficiency, and compliance with operational standards.
Ensuring compliance with all applicable regulations and standards (ISO, OSHA, ERT and others)
Plan and implement paper-saving initiatives to promote sustainable practices and reduce resource usage, including document archiving, digitalization, and handling recyclable paper.
Managing general waste as well as assigning and monitoring clerical functions
Assist the HR Executive in handling operator recruitment processes and interviews.
Assist the Account Executive with bookkeeping tasks, including data entry, document filing, and following up on purchase order (PO) status
Performing other general office duties as required
What we're looking for
Currently pursuing a Diploma/Degree in Business, Administrative, Human Resources, or a related field.
At least 6 months availability for the internship period.
Proficient in using Microsoft Office suite (Word, Excel, PowerPoint)
Possess a valid car driving license
Positive attitude, willingness to learn, and ability to work in a team
Minimum CGPA 3.0
