Job Summary :

The Assistant Manager HRIS plays a crucial role in managing and overseeing Company Malaysia\'s Human Resources Information Systems (HRIS) within the organization.

Accountable for ensuring the effective use, maintenance, and functioning of HRIS technologies and software to support various HR activities and improve overall HR operations.

The potentials are required to work closely with the HR team, IT department, and other relevant stakeholders to streamline HR data management and reporting processes.

Key Responsibility :

1. HRIS Management

  • Manage and administrate the HRIS platform, including implementation, configuration, and administration. Ensure data integrity, security, and accuracy in the system.
  • Manage HR data entry, maintenance, and updates within the HRIS, including employee records, job positions, compensation, benefits, and performance evaluations.
  • Ensure that HRIS processes and data management comply with data protection regulations and internal security standards.
  • Continuously assess HR processes and workflows, proposing and implementing improvements to increase efficiency and accuracy.
2. Enhancement and Support
  • Collaborate with the IT team and HR users to identify opportunities for system improvements, upgrades, and customizations to meet changing business needs.
  • Provide training and technical support to HR staff and end-users on HRIS functionalities, ensuring optimal utilization of the system.
  • Work on integrating HRIS with other relevant systems, such as payroll and timekeeping, to streamline data flow and eliminate data discrepancies.
  • Diagnose and resolve HRIS-related issues promptly to minimize disruptions in HR operations.
  • Lead HRIS-related projects, from planning and development to implementation and evaluation
3. Reporting and Analytics
  • Generate and analyze HR metrics and reports using HRIS data to assist management in making data-driven decisions and identifying HR trends.
  • Keep abreast of industry trends, best practices, and advancements in HR technology to recommend innovative solutions to enhance HR operations.
  • Providing day-to-day support and administration and responsible for general ad hoc standard report metrics and reasonable information requests.
4. Compliance and Security
  • Collaborate with HRIS vendors to address system-related concerns, negotiate contracts, and stay updated on system enhancements.
  • Ensure that HRIS processes and data management comply with data protection regulations and internal security standards
  • Effectively collaborating with the team to prioritize work and establish a strong partnership with IT to ensure clear governance in how value is delivered to the end users to provide an amazing employee experience.
  • Monitor budget and utilize operational resources.
Requirements :
  • Bachelor\'s degree in Human Resources, Information Systems, Business Administration, or a related field.
  • Proven experience (typically 3-5 years) in HRIS administration, implementation, and management.
  • Strong understanding of HR processes and data management principles.
  • Familiarity with HRIS software and databases (e.g., Workday, SAP SuccessFactors, Oracle HCM).
  • Analytical mindset with the ability to interpret data and generate meaningful insights.
  • Project management skills with the ability to handle multiple tasks simultaneously.
  • Excellent communication and interpersonal skills to collaborate with various stakeholders.
  • Knowledge of data protection regulations and best practices in data security.
  • Problem-solving skills to troubleshoot and resolve HRIS-related issues efficiently.
  • Willingness to adapt to new technologies and stay updated on industry developments
