The Assistant Office Manager plays a key role in supporting the day-to-day operations of the office, ensuring smooth coordination between janitorial, security, and vendor teams. This role involves managing work requests, overseeing facility upkeep, preparing monthly reports, and ensuring compliance with SOPs and client expectations.
Key Responsibilities
Coordinate and monitor janitorial and security staff schedules, including long leave planning and daily replacements.
Track and log all work requests (e.g., repair, maintenance, cleanliness) and follow up on resolution status.
Prepare and compile monthly Integrated Facilities Management (IFM) reports, including Work Request Logs, Vendor Management Reports, SOP adherence, Security Incident Reports, and Long Leave Overviews.
Liaise with clients and vendors for pantry equipment, landscaping, and wellness services; track service schedules and follow-ups.
Ensure SOPs for cleaning and security are followed across all office levels (L8, L20, L28).
Communicate with building management and internal departments regarding facility issues.
Maintain documentation for pantry usage policies, incident logs, and staff acknowledgments.
Support internal audits and ensure all operational records are up to date.
Assist in onboarding and workspace arrangements for new hires or relocations.
Issue ad-hoc requirement quotation.
Prepare and submit weekly inventory stock reports to ensure accurate tracking of supplies and materials.
Submit Delivery Orders (DO) to Finance after receiving stock from vendors.
Submit MSO orders every month before the 15th.
Submit the monthly security report and corresponding invoice to the procurement team upon completion.
Skills & Requirements
Experience in office administration or facilities coordination.
Strong organizational and multitasking skills.
Proficient in Microsoft Word, Excel, and document formatting.
Good communication skills for liaising with vendors and internal teams.
Detail-oriented with a proactive approach to problem-solving.

Pay: RM6,300.00 - RM6,800.00 per month
