You will be responsible for providing high-level administrative support to senior management, specifically in the context of property development. This includes coordinating with government agencies, preparing and managing documentation for authority submissions, tracking approval timelines, and ensuring regulatory compliance. You will also assist in scheduling, meeting coordination, and handling confidential information to support smooth project execution.
Key Responsibilities
Provide full administrative and secretarial support to senior management.
Liaise and coordinate with government authorities (e.g., DBKL, MBPJ, Land Office, etc.) on development submissions and approval processes.
Assist in preparing and compiling documentation for submissions (e.g., development order, building plans, CCC, strata titles).
Track timelines and progress of applications with authorities and ensure timely approvals.
Coordinate and maintain communication with internal teams, consultants, contractors, and other project stakeholders.
Arrange and prepare for meetings, take minutes, and follow up on action items.
Maintain organized filing systems for all confidential, legal, and project-related documentation.
Ensure smooth execution of tasks and projects by supporting the project team and management.
Handle ad hoc assignments as required, including project follow-ups and external coordination.
Job Requirements
Minimum Diploma in Business Administration, Property Development, or related field.
Minimum 5 - 6 years of experience in a property development or construction-related environment.
Good understanding of development processes and liaison requirements with local authorities and regulatory bodies.
Experience dealing with project stakeholders including consultants, contractors, and government officers.
Excellent written and verbal communication skills, with strong proficiency in Microsoft Office applications.
Good organizational skills, attention to detail, and ability to manage multiple deadlines.
Discreet, trustworthy, and able to handle sensitive and confidential information.
Possess own transport and willing to travel for external coordination, submissions, and follow-ups.
