Job Description

We are looking for a proactive and detail-oriented

Business Operations Executive

to join our team in the gold industry. You will be part of the one of the team under

Procurement, Transaction, or Inventory

, supporting day-to-day operations to ensure smooth and efficient processes.

Inventory



Maintain accurate and up-to-date inventory records for all gold items (e.g., jewelry, bullion, raw gold). Conduct daily stock checks and ensure alignment between physical stock and system records. Coordinate with production, sales, and procurement teams on inventory movement. Ensure proper storage, handling, and security of gold products according to company policies. Investigate and resolve inventory discrepancies promptly. Monitor stock levels and alert management on low stock or overstock issues. Assist in internal and external audits of inventory. Prepare regular inventory reports and documentation for compliance purposes. Implement and uphold inventory control procedures to minimize risk and loss.

Procurement



Source and procure gold materials, tools, and other necessary items from suppliers. Negotiate and establish contracts with suppliers to ensure favorable terms and Pricing. Develop and maintain strong relationships with key suppliers and vendors. Monitor inventory levels to ensure timely procurement of necessary materials. Ensure that all procurement activities align with the company's policies and regulatory requirements. Work with the quality control team to ensure that all procured materials meet quality standards. Coordinate with production teams to ensure timely delivery of materials to meet production schedules. Analyze market trends and identify new suppliers and cost-saving opportunities. Manage the purchase order process, from request to order fulfillment. Maintain procurement records and provide regular reports on spending and inventory levels. Resolve any issues or discrepancies with suppliers regarding quality, delivery, or pricing. Other tasks or job assignments include but not limited to day-to-day administration, coordination, and service support assigned by superior based on business need.

Transaction



Sales and customer interaction, Issuing invoice for jewellery and lock price gold bars - ensure signed and stamped to audit standards Documentation and record keeping for each invoices, receipts and GRNs. Collecting and documenting payment from customers Ensure payments are accurately communicated to finance team Inventory management support, validate stock issued and receive for sales and gold received Maintain records of stock levels with sales team; document, report and address and variance prior to next trip Customer relationship management by managing KYC database.
