Job Description

Objective / Purpose of the Job
Supports Procurement , Infrastructure and Assets (PIA) Management in the day to day operations of purchasing, sourcing, coordination with operation and vendor, and assets management. This role involves in the preparation of procurement documents, maintaining records, monitoring inventory, and ensuring company assets are optimized and utilized as per company policies. To work closely across functions by ensuring smooth and efficient procurement and asset management processes.

Key Activities / Accountabilities:

Prepare and manage Requests for Quotations (RFQs), bid proposals, and Purchase Orders (POs). Collect product specifications and pricing information based on requests, and research potential suppliers. Maintain comprehensive records and databases for all procurement activities, including contracts, Purchase Requisitions, Purchase Orders, supplier correspondence, and asset information. Ensure all documents are properly filed and accessible for audits and internal reviews. Verify that all procurement requests comply with company policies, approval processes, and budget guidelines. Track and follow up on order statuses to ensure on-time delivery and timely submission of invoices and delivery orders. Liaise with vendors and suppliers to resolve issues, discrepancies, or delays in the procurement process. Monitor and manage stock levels under Procurement to prevent stockouts or overstocking. Receive, verify, and inspect goods upon delivery to ensure they match purchase orders and specifications. Maintain an accurate asset database, recording acquisitions, transfers, damages, and disposals. Perform asset tagging and tracking to ensure proper recording and accountability. Conduct scheduled inventory checks to verify asset condition and location. Assist in scheduling maintenance and calibration of equipment and assets as required. Support the disposal process for obsolete or damaged assets in compliance with company policies. Perform other duties as assigned by the Procurement Manager.
Preffered Qualification, Experience & Skills:

Diploma/Degree holder in any field At least one (1) year experience in administration or related work Experience work in procurement, infrastructure and assets department will be advantage
Technical Skills:

Microsoft Office, primarily Excel and Word Working supportively as a team member and effectively as an individual Communicating effectively across functions and levels Drive for results Problem solving skills
