Job Description


Job Summary To assist in the daily administrative routines and support to Civil Management and Facilities Management Department. To assist manager for meetings arrangement / appointments / business visits / incoming calls. Responsible to issue invitation letter/email with relevant supporting (i.e. minutes of meeting, agenda) in the required timeline and data is accurate To assist in HR related matters i.e. staff requisition & resignation, staff performance, in-house & public trainings, leave and attendance management system, staff welfare, overtime claims, allowances, travelling & accommodation arrangements are well coordinated and taken care of. To assist in other administrative & amenities matters i.e. company vehicle request, mobile/smartphone request, staff uniforms/PPE request, mail & courier services, office supplies, office equipment and others. Responsible to ensure all supporting document for any request for administrative and amenities matters recorded. To assist in ITS related matters i.e. registration of new staff email account, desktop & printing setup and others. Responsible to raise IT ticket / ITSR in the required timeline and ensure data accuracy. To assist in ERP/EAM related matters i.e. preparation of work order, invoice receipt, work order release, payment receipt, etc. in order to ensure ERP/EAM matter completed as per timeline and data is accurate. To assist in all other task as requested by Senior Manager/Manager in Civil Management. Responsible for the implementation of Information Security (IS) and IT Policies that reflect the organisation\'s needs with regard to the protection of information and assets and the integrity and privacy of the organisation\'s intellectual property. To ensure policies always reflect current business requirement and are fully complied. Requirements Candidate must possess at least Diploma in any related discipline from any recognized Institution. Obtain ISO 9001 knowledge and clerical work in construction or infrastructure maintenance are the added advantages Possess good interpersonal abilities. Ability to get along with diverse personalities, tactful, mature and flexible. General background with Administration\'s aspects. Well-developed administrative skills. Ability to establish credibility and be decisive and able to support. Strong administrative skills. Positive thinker and team player. Resourceful and well organized. Good communication and reasoning abilities. Sound judgment. Able to produce analytical reports on any assignment given. Well computer literate with good command of Bahasa Malaysia and English.
