To provide administrative and clerical support to the Project Implementation Department, ensuring smooth documentation flow, record keeping, and coordination of project-related correspondences and activities at the site level.
Key Responsibilities:
Provide general administrative and clerical support to the Project Implementation team, including filing, data entry, and document handling.
Assist in preparing, updating, and maintaining project-related documents, reports, and correspondence.
Maintain accurate filing systems (physical and digital) for drawings, site reports, and project records.
Coordinate and follow up with consultants, contractors, suppliers, and internal departments on project documentation and progress updates.
Assist in tracking project timelines, material delivery schedules, and work progress reports.
Support the preparation of meeting materials, minutes, and reports for internal and site coordination meetings.
Handle incoming and outgoing correspondence, emails, and courier deliveries related to project activities.
Provide administrative assistance in procurement and payment documentation, such as preparing PR/PO requests or verifying supporting documents.
Ensure that all documentation and records comply with company policies, ISO requirements, and audit standards.
Perform other administrative or support duties as assigned by the superior or department head.
Requirements:
SPM or Diploma in Business Administration, Construction Management, or a related field.
Minimum 1 year of administrative experience, preferably in the property development or construction industry.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and basic document management.
Strong attention to detail and good organizational skills.
Good communication and interpersonal skills in English and Bahasa Malaysia; Mandarin is an added advantage.
Able to work independently with minimal supervision and support the project team in a fast-paced environment.
Responsible, proactive, and able to handle confidential information appropriately.
