KNOW HOW:

  • Fax and e-mail out-going letters to Customers, authorities, etc
  • To sort all incoming mails received from Sibu Corporate Admin Section
  • To update/reply invitation notices, ie: meeting/functions from Government Departments and agencies
  • To monitor and to follow-up on any complaint/urgent request from Customer Care, customer/YB\'s Office and etc, received by email, letter or phone call.
KEY ACCOUNTABILITIES:
  • To manage general administration works at Regional Manager Office
  • To update RTC/GOMTC, long-terms/Annual contract in CRM (Contract Management System) & to remind Project Owner, six(6 months) prior to contract expiry date.
  • To prepare/bind CR awarded tender contract agreement for endorsement by Legal Department
  • To update CR tender and quotation tacking number and to follow-up on monthly basic on the tender progress/movement
  • To co-ordinate with HQ on any CR event/program such as Employees\' Engagement, Survey, Training, Townhall and etc
  • To schedule and update CR Meetings chaired by Regional Manager and to follow-up with all Section Heads on feedback of matters arising from minutes of meeting.
  • To monitor and to assist RM(CR) on employee\'s individual development plan (IDP) and performance review
  • To update HR on staff sick leave, prolong sickness and medical problem for CR & Sarikei Station
  • To update HR on any movement on CR organizational chart
  • To issue internal/sectional transfer letter
  • To arrange and issue staff covering letter of annual leave less than fourteen (14) days
  • To update file in Inventory list of active files record, such as meeting files/general correspondences / CR & Sarikei Personnel files.
  • To prepare closed files (SEB records for disposal) for all files exceeding seven(7) years closure after no outstanding / financial issues for disposal.
  • Focal person for booking of meeting/conference room, arrangement of food and beverage for meeting/event
QUALIFICATION:
  • Sijil Pelajaran Malaysia (SPM)
  • Computer Literate
WORK EXPERIENCE:
  • 3 years working experience in related areas
  • Knowledge in Microsoft Office, Excel and Power Point would be an added advantage
