The Clinic Assistant plays a key role in supporting the operational efficiency of a GP clinic. This position involves providing clinical support to the doctor, coordinating patient services, managing administrative duties, and ensuring the clinic operates in line with professional healthcare standards.
2. Primary Duties & Responsibilities
A. Patient Services & Reception Management
Welcome patients, facilitate registration, and ensure accurate data entry into the clinic's system.
Manage appointment scheduling and maintain systematic patient flow.
Handle inquiries via phone, email, and messaging platforms in a courteous and professional manner.
Prepare billing, collect payments, and process panel/insurance claims efficiently.
B. Clinical Support Functions
Set up consultation rooms and assist doctors during examinations, procedures, and treatments.
C. Medication Handling & Inventory Control
Dispense medications accurately based on the doctor's prescription and provide clear instructions to patients.
Conduct routine stock checks and ensure proper documentation of medication inventory.
Monitor expiry dates, maintain safe storage, and ensure compliance with medication management protocols.
D. Hygiene Maintenance & Safety Compliance
Ensure all clinical and common areas are clean, organised, and well-maintained.
Follow established infection control procedures, including sterilisation and waste disposal.
Check and maintain medical equipment to ensure cleanliness and functionality.
E. Administrative & Operational Support
Assist in issuing medical certificates, referrals, and related patient documents.
Contribute to the smooth functioning of the clinic by supporting operational tasks as needed.
3. Qualifications & Competency
Requirements
Education
Minimum SPM or equivalent (required).
Skills & Attributes
Excellent communication and interpersonal skills.
Professional, organised, and able to handle confidential information appropriately.
Proficient with clinic management systems, basic computer applications, and digital communication tools.
Able to multitask and work efficiently in a high-volume environment.
Additional Requirements
Willing to work shifts, weekends, or public holidays based on clinic schedule.
Responsible, reliable, and capable of working both independently and as part of a team.
Prior experience in a clinic or healthcare environment is beneficial.
