The Clinic Manager will oversee the day-to-day administrative, financial, and operational functions of the clinic. This role requires strong skills in
payroll processing, inventory management, bookkeeping, and accounting
to ensure smooth operations and compliance with healthcare and business regulations. Candidates with a
nursing background

Key Responsibilities
1. Payroll & HR Administration
Manage end-to-end payroll processing, including salary calculations, statutory deductions (EPF, SOCSO, EIS, PCB), and timely disbursement.
Maintain accurate employee records including attendance, leave, and overtime.
Ensure compliance with Malaysian labor laws and regulations.
Coordinate with HR for new hires, exits, and benefits administration.
2. Inventory Tracking & Procurement
Monitor and maintain clinic inventory (medical supplies, pharmaceuticals, consumables, office equipment).
Implement stock tracking systems with reorder alerts to prevent shortages.
Negotiate with vendors for competitive pricing and ensure timely restocking.
Conduct periodic audits to identify discrepancies or wastage.
3. Bookkeeping & Accounting
Maintain daily financial records including income, expenses, and petty cash.
Reconcile bank statements, vendor accounts, and patient billing.
Prepare monthly management accounts, cash flow reports, and budget variance analyses.
Support external accountants/auditors for statutory reporting and tax compliance.
4. Clinic Operations & Compliance
Support doctors in scheduling, billing, and insurance claims processing.
Ensure adherence to the Private Healthcare Facilities and Services Act (PHFSA 1998), MOH requirements, and internal SOPs.
Implement cost-control measures and recommend efficiency improvements.
Liaise with regulatory bodies and external partners when necessary.
Assist in basic patient triage, vital signs monitoring, and record-keeping.
Oversee infection control and sterilization protocols within the clinic.
Support doctors with minor procedures or treatments when required.
Train and supervise clinical assistants or nursing aides.
Ensure proper storage and handling of medications and vaccines.
Qualifications & Skills
Bachelor's degree/diploma in
Accounting, Business Administration, Healthcare Management
, or related field (preferred)
At least
3-5 years of experience
in finance, clinic administration, or operations.
Strong knowledge of
payroll systems, Malaysian statutory contributions, and accounting principles
.
Proficiency in accounting software (e.g., SQL, Xero, QuickBooks, MYOB) and Microsoft Office Suite.
Strong organizational skills with attention to detail.
Excellent communication and problem-solving abilities.
Ability to work independently and maintain confidentiality.
Optional Nursing Qualifications (Preferred but not mandatory)
Diploma/Degree in
Nursing
or equivalent, with a valid APC (Annual Practicing Certificate).
Previous experience in a clinical/nursing setting.
Familiarity with patient care workflows, MOH nursing standards, and emergency protocols.
