SCOPE OF SERVICES:

  • Plan, coordinate and administer document control functions for the Transmission Line Projects and maintain effective document management system for the project team.
  • Advise project team members on document control best practices in line with Data and Information Governance requirements and ensure compliance.
  • Facilitate project document controls process and ensure the final documentations are captured for record retention in accordance with the Project Document Management Plan (PDMP) throughout the project until project closure.
  • Maintain an up-to-date and complete project File Inventory inclusive of both physical and digital project records and Final As-builts.
  • Support Enterprise Content Management (ECM) and Engineering Document Management (EDM) system and ensure project deliverables and engineering drawings submissions from contractor are properly captured in the respective Central Document Repositories.
  • Monitor and track document review status to completion.
  • Provide advice and guidance to the Contractor on document submission requirements.
  • Initiate and coordinate archival and disposition process.
  • Support and participate in PD Digitalization initiatives for new Enterprise Management Application:
o Standardization of document management document flow process.
o Provide Project Document Management requirements.
o Defining As-IS and To be Workflows.
o Participate in the development of Swimlane Diagrams.
o Implementation and roll-out activities.

  • To maintain confidentiality and high standard of integrity at all times.
  • To perform all tasks in line with the Information Security Quality Manual (ISQM) and the ISMS roles and responsibilities procedure.
QUALIFICATION & WORK EXPERIENCE (KNOW-HOW):
  • Degree from an accredited learning institution
  • Minimum of (2) years\' experience in a similar document controls / records management role.
  • Strong computer skills, particularly in the use of databases and electronic filing or record management systems.
  • Good IT skills in using MS Office, Microsoft Teams and SharePoint.
  • Good knowledge on records management principles and best practices.
  • Good knowledge on capturing and controlling huge volume of project records.
  • Organization and prioritization of assignments and taking initiative to follow through on pending items.
  • Able to work under challenging environment such as coping with high volumes of work and maintaining systematic approach.
