Overview
As the Contract & PO Management Manager, you will oversee the full lifecycle of our contracts and purchase orders (POs). You'll ensure all procurement activities follow company policies and financial standards. This role involves leading a team, driving process improvements, and acting as the main point of contact between our Procurement, Legal, Finance, and business teams.
You will report to the Manager - Operational Management.
Key Responsibilities and Accountabilities
Functional (job responsibilities)Develop and maintain robust contract management policies, procedures, and systems.
Oversee the drafting, review, negotiation, and execution of various contracts, including vendor agreements, Non-Disclosure Agreements (NDAs), and Statements of Work (SOWs).
Ensure compliance with all contractual terms and legal requirements; manage the contract repository; and proactively track key dates for renewals or terminations.
Manage the end-to-end PO lifecycle, ensuring timely and accurate creation, approval, and distribution.
Develop and enforce policies for PO creation and closure to maintain proper financial controls and spend visibility.
Audit PO submissions for compliance with approved budgets and coordinate with Accounts Payable to reconcile POs and resolve discrepancies.
Lead, mentor, and train the Contract and PO Management tea
Drive continuous improvement initiatives for contract and PO processes, leveraging technology and best practices.
Develop and track Key Performance Indicators (KPIs) and generate reports for management on contract status and operational performance.
Jobholder RequirementsMalaysian citizen.
Education/QualificationBachelor's degree in Business Administration, Finance, Supply Chain Management, or a related field. A professional certification such as CPCM or CPSM is highly preferred.
Experience/Requirements5-7 years of experience in contract administration, procurement, or a related legal/financial role.
2-3 years of proven experience in a management or supervisory position.
Demonstrated experience working with Contract Lifecycle Management (CLM) and Enterprise Resource Planning (ERP) systems (e.g., SAP, Oracle, Ariba).
Strong understanding of legal principles, contract law, and procurement best practices.
Strong negotiation, communication, and analytical skills.
High proficiency in Microsoft Office Suite, especially Excel.
