Time Type: Full TimeESSENTIAL DUTIES AND RESPONSIBILITIES

  • Respond and coordinate enquiries, bookings, and document requests for Seafreight shipments from external and internal stakeholders via emails, telephone, or fax as required.
  • Register shipments into the forwarding system CW1 on time, accurately, and in accordance with compliance and SOP.
  • Update all required systems, internal and external, with correct and necessary shipment data in a timely manner.
  • Create, submit, follow up, coordinate, and communicate shipment information with stakeholders (e.g., subcontractors, shipping lines, shipping agents, freight forwarders, customers, and overseas offices) in accordance with company policies, procedures, and SOPs from booking to the release of Bill of Lading and receipt of Proof of Delivery for Door Delivery shipments.
  • Verify the completeness and accuracy of all forwarding documents, including Bill of Lading, Master Bill of Lading, shipping certificates, advance manifests, and SOLAS/VGM submissions.
  • Ensure all dangerous goods/hazardous cargo documents are in place and procedures are met with approval from the carrier where necessary.
  • Work with and monitor Permit Declaration activity with the permit declaration vendor.
  • Proactively correspond, communicate, and follow up on emails.
  • Follow cargo/shipment irregularity handling procedures.
  • Escalate all impediments to processing to the direct reporting manager.
  • Adhere to customer-specific SOPs.
  • Communicate all cargo-related incidents to customer service/external brokerage houses (e.g., short shipments, damages, misrouting, missed vessels).
  • Adhere to Global standard processes/procedures and Corporate Standard & Governance policies.
  • Participate in company projects and initiatives as required.
  • Initiate and follow up on cargo and insurance claims with customers/surveyors and other DSV offices regarding damaged or missing cargo.
  • Engage and initiate discussions with local and regional procurement on rates and space.
  • Sort and upload required documents into eDoc in a timely manner.
  • Send pre-alerts of shipments to relevant stakeholders (e.g., customers and destination offices) upon vessel departure.
  • Maintain accountability and accuracy for updating and meeting deadlines for monthly reports required by customers.
  • Ensure timely invoicing of shipments as per company KPIs.
  • Release invoices to customers with supporting documents according to requirements or SOP.
  • Ensure payment collection prior to the release of shipments for customers under cash terms.
  • Ensure shipment costs are updated correctly in CW1.
  • Verify vendor/intercompany invoices and raise disputes for incorrect invoices.
  • Handle disputes and queries from customers and DSV overseas offices on billing matters and resolve them in a timely manner.
  • Monitor and update respective sales personnel on the validity date of all customer quotations.
  • Participate in company projects and initiatives as required.
QUALIFICATIONS
  • At least 1 year of working experience in the Seafreight or freight forwarding industry is preferred.
  • Proficient in computer software such as MS Excel, Word, PowerPoint, and Email.
