We are looking for a friendly, proactive, and customer-oriented individual to handle patient communications and support. This role plays a key part in ensuring a smooth patient experience while also helping to grow the clinic's customer base through effective outreach and follow-ups.
Key Responsibilities:
Manage appointment bookings, rescheduling, and reminders.
Handle inbound calls, WhatsApp messages, emails, and social media inquiries.
Provide information on treatments, pricing, packages, and clinic procedures.
Assist in payment processing and documentation (e.g., receipts, insurance forms, panels, other administrative work).
Address and resolve patient concerns professionally; escalate when necessary.
Make outbound calls to promote dental services, packages, or ongoing promotions.
Follow up with leads from campaigns or past patients to encourage rebooking.
Maintain a database of leads, call logs, and follow-up status.
Assist in executing marketing campaigns (e.g., WhatsApp/SMS blasts, emails).
Encourage patients to leave reviews or refer friends and family.
Share patient feedback with the marketing or operations team for improvement.
Maintain accurate records of call activity, lead status, follow-up schedules, and conversion rates using clinic CRM or spreadsheets.
Conduct short surveys or gather informal feedback from patients regarding services, promotions, or overall clinic experience. Share insights with the marketing team.
Ad hoc administrative work
Requirements:
Minimum 2 years experience in customer service.
Strong communication and interpersonal skills in [e.g., English, Malay, Mandarin].
Pleasant, polite and patient-focused attitude.
Ability to multitask and manage time effectively in a fast-paced environment.
Basic computer skills; experience with clinic management software is a plus.
Prior experience in customer service, telemarketing, or healthcare setting preferred.
