Requirements
  • Preferably with 4-5 years of experience in office administration, operations support, or documentation processing.
  • Certified in Business Admin / Hospitality / related fields
  • Able to speak and write 3 languages (Mandarin, English and Malay)
  • Highly detailed oriented and strong organization skills
  • Great communication skills with client & internal team
  • Highly self-motivated and able to meet deadlines of required admissions
  • Experience in customer service
  • Proficient in Microsoft Office (Word / Excel / Outlook)
Responsibilities
Join us as a Documentation Support Specialist, where you'll manage key client documents, provide guidance and work with clients from around the world. This role offers strong opportunities to build cross-cultural communication skills, grow your administrative expertise, and advance into higher operational or client management roles.
Key Responsibilities?
Application & Documentation Management
  • Verify accuracy and completeness of all client documents before submission.
  • Manage online submissions and appointments through the OSC MM2H system.
  • Liaise with relevant authorities for required operation processing.
  • Ensure all documentation follows strict timelines and meets regulatory or programme-specific requirements.
Client Coordination
  • Communicate with clients professionally to guide them through document preparation, requirements, and procedures of their application.
  • Handle client inquiries professionally and ensure a high level of confidentiality and service quality.
  • Coordinate between departments (e.g. property, education, and relocation teams) to support clients' settlement needs.
Operational & Administrative Support
  • Maintain organised digital and physical filing systems for all applications and approvals.
  • Prepare documentation status updates, tracking logs, and progress reports for management.
  • Handle day-to-day office administrative duties, including correspondence, scheduling, and maintaining departmental documentation flow.
  • Liaise with internal teams to ensure smooth processing of administrative and operational tasks.
  • Contribute to improvements in workflow efficiency, documentation processes, and administrative SOPs.
Liaison & Relationship Management
  • Build and maintain positive working relationships with government agencies and business partners.
  • Attend briefings, policy updates, and training sessions as required for the operation.
Customer Experience & Post-Approval Support
  • Provide excellent customer service by addressing client queries, offering clear explanations, and ensuring a positive client experience.
  • Assist clients with post-approval requirements and after-sales enquiries.
