Summary
We are looking for a detail-oriented Event Specialist to support the Greater Asia marketing team in the administrative and compliance execution of medical education and commercial events. This role is pivotal in ensuring operational excellence across event logistics, vendor coordination, internal systems, and compliance workflows.
You will work closely with regional and country marketing teams, procurement, finance, and compliance stakeholders to ensure seamless execution of event-related processes. This is a non-travel, hybrid office-based role in Kuala Lumpur.
Responsibilities:
Event Administration & Logistics

• Coordinate venue bookings, vendor onboarding, and logistics planning for internal and external events.
• Manage participant registration, attendance tracking, and post-event documentation.
• Liaise with vendors to ensure timely delivery of services and materials.

Compliance & Financial Processes

• Raise and track Purchase Orders (POs) and invoices using COUPA.
• Submit and manage HCP disclosure requests and event approvals via BD's internal compliance platforms.
• Ensure all documentation aligns with BD's internal policies and regulatory requirements.

Project Coordination

• Maintain event timelines, checklists, and stakeholder communications.
• Support the marketing team in preparing event briefs, summaries, and reports.
• Coordinate with internal teams to ensure brand and messaging consistency across event materials.

Requirements:

• Bachelor's degree in Business Administration, Marketing, or a related field.
• 1-3 years of experience in event coordination, administrative support, or project management.
• Familiarity with procurement and compliance systems (e.g., COUPA, CRM, or similar platforms) is a strong advantage.
• Proficient in Microsoft Office Suite (Excel, PowerPoint, Word).
• Strong organizational skills, attention to detail, and ability to manage multiple priorities.
• Excellent communication skills and a collaborative mindset.
• Experience in the healthcare or B2B industry is a plus.
