Job Description


Functional Responsibilities:Serve as the primary administrative support to the OCCM, managing daily operations and other assigned tasks.Assist the Flight Operations Admin team as needed.Functional Duties:1) OCC Admin Executive Responsibilities:Oversee and manage all departmental purchases.Create and update profiles in the system for all new OCC personnel.Assist with ad-hoc tasks assigned by the OCCM.Monitor and plan training programs for OCC personnel.Verify all invoices under the OCC budget, including transportation/hotel crew charges, navigation, and ad hoc payment requests.Communicate and coordinate with Finance for payment updates.Create Spend Authorizations for new vendors and raise JIRA tickets as needed.2) Pilot and Cabin Crew Accommodation/Transportation Charge Invoices/Agreement:Email the station manager with the crew accommodation comparison template and hotel safety checklist.Negotiate with vendors or inform the station manager about terms such as late payment charges, deposits, and room prices.Present three hotel options to the DFO & CPO for their approval.Communicate with Finance for review and approval, and then forward to Tax Legal.Prepare clean execution copies of agreements, print required copies, and ensure the original copy is given to the legal team.Verify crew accommodation/transportation charges against flight frequency and the General Declaration form from AIMS.Submit invoices to Oracle for the approval process and review promptly to ensure timely payment by Finance.Maintain a list of crew accommodation contracts and track crew accommodations.Check for renewal agreements or new crew accommodation agreements one month before current contracts expire.Qualifications & Experience:Excellent communication skills.Possess a positive attitude with a natural ability to provide excellent service.Ability to work effectively within a team environment and interact with people from diverse cultures.No prior working experience required.Education: High School Diploma or equivalent diploma/SPM or any substitute credentials.Technical Skills: Intermediate/advanced level proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).Proven ability to develop and maintain relationships with a range of stakeholders.Highly developed planning and problem-solving skills.Excellent English communication skills, both written and spoken.
