1. Support the Managing Director in Working Towards Its Goal
Screening telephone calls, enquiries and requests, and handling them when appropriate;
Meeting and greeting visitors at all levels of seniority;
Organizing and maintaining diaries and making appointments;
Dealing with incoming email, faxes and post;
Taking dictation and minutes;
Arranging meetings, meetings rooms, refreshments, souvenirs, distribution of materials and notes and attends meetings where appropriate (including taking minutes)
Organize logistics of Company's visitor including travel, accommodation, venue and hospitality
Liaising with clients, suppliers and other staff;
Devising and maintaining office systems, including data management, filing, etc.;
Arranging the Managing Director travel and accommodation
Prepare official correspondence such as letters of support, thank you and invitations.
2. Administer, Manage and Maintain the Building Upkeep of EEW Malaysia Factory
Managing contract cleaners and gardeners for office upkeep /housekeeping.
Managing pest control and hygiene services.
3. Liaison with Local Authorities
For matters relating to licenses, permits and others with MPPG, MICCI, MGCC, Certificate of Origin, KPDNKK, MIDA etc.
4. Corporate Credit Card
Monitor and manage corporate credit cards for eligible employees.
5. Company Vehicles
Monitor and manage company vehicles (renewal insurance, road tax etc.)
Manage vehicle periodic maintenance services.
6. Corporate Mobile Phone
Monitor and manage corporate mobile phone for eligible employees.
Prepare monthly usage report and highlights issue.
7. Fuel Card
Monitor and manage corporate fuel card for eligible employees.
8. Business Card
Apply the business card for eligible employees.
9. Purchase Requisition
Monitor and manage the requisition of stationeries, letterheads, envelopes, birthday presents, souvenirs etc.
10. Employee Monthly Claims
Monitor and verify employee monthly claims.
11. Corporate Meetings and Company Events
Arranging meetings, meetings rooms, refreshments, distribution of materials and notes
Organize company's events (Annual Dinner, Family Day, Company Trip etc.)
12. Hotel Corporate Rate
Update and maintain the hotel corporate rate for all states in Malaysia.
13. Expatriate
Applying the employment pass and work permit for expatriate and professional visitor.
Managing rental houses for expatriate.
Managing MACS stickers, Malaysian Driving License etc.
Managing Company vehicle, fuel card, air ticket, mobile phone etc.
14. Office Beverages
Replenish of office beverages
15. Application of Visa for business travel purposes
16. Liaison with Company Secretary
Distribution of Directors Resolution.
Request for CTC documents etc.
17. Arrange employees business travel and accommodation
Flight booking, hotel, cash advance etc.
18. Canteen
Monitor and manage canteen operator (agreement, menu, cleanliness etc.)
19. Other task given that is related to job scope from time to time.
20. You have the authorization to decide on your department matter and any major issue are to be discussed further with the advise your superior whenever required.
21. Adhere to all the Quality/Safety & Environmental requirements.
Requirements:-
Bachelor's Degree of Business Studies/Administration/Management or its equivalent
Minimum 3 years working experience in managerial level with hands-on experience in managing administration.
A matured person with tact, leadership, good communication and interpersonal skills
Confident and systematic
Able to travel
