Job Description

Purpose of the Role/Role Overview:

Provide personal administrative support to management and the company by conducting and

organizing administrative duties and other activities.

General /Role Overview:

? Arrange, schedule, and organize the appointments and meetings, sending reminders and

managing schedule conflicts.

? Handling incoming and outgoing phone calls professionally

? Prepare write-ups and presentation slides as and when required.

? Make travel arrangements and preparing detailed itineraries for business travel

? To set up and maintain an appropriate and effective filing system for all documents.

? Liaise with internal staff of other divisions and departments on all administrative matters.

? Record minutes of the division meeting as and when required.

? Maintain strict confidentiality and interact professionally with all levels of management, staff and

business associates.

? Solid IT proficiency with the ability to resolve basic technical issues.

? Above average knowledge and understanding of accounts and finance.

? Filing and retrieving documents in both digital and physical formats

? Preparing correspondence, reports, and presentation materials as when needed.

? Managing general and confidential email communications

? Relaying messages accurately to the Secretary, GMD, VP's or relevant parties.

? Coordinating maintenance and service requests as when needed.

? Assist on managing office inventory and petty cash (if applicable)

? Updating and maintaining internal databases and contact lists

? Compiling and analyzing simple reports or spreadsheets

? Ensuring data accuracy and confidentiality

? Assisting in inter-departmental communication and task follow-ups

? Drafting and distributing meeting agendas

? Taking clear, concise minutes and ensuring timely distribution

? Keeping the GMD informed of industry updates or relevant news

? Assisting in planning and executing corporate events or initiatives

? Preparing basic project timelines, checklists, or status updates

? To assist in day-to-day running of the administration function of the division.

Job Type: Full-time

Pay: RM3,500.00 - RM4,000.00 per month
