We are a growing Malaysian clothing brand seeking a reliable and organized Executive Assistant to support the Founder across daily business operations and general administrative tasks. This role suits someone who enjoys working in a dynamic small business environment, can multitask effectively and takes initiative to keep things running smoothly.
Key Responsibilities
1. Administrative Support
Manage calendar, appointments and reminders
Organize meetings and maintain simple documentation
Assist with travel planning or event related arrangements
2. Communication Support
Liaise with vendors, event organizers and partners
Filter incoming inquiries and draft responses for review
Help prepare basic correspondence and follow ups
3. Operations and Inventory Coordination
Assist with basic stock checks and restock reminders
Update simple tracking sheets and operational notes
Coordinate with suppliers or warehouse teams when needed
4. Event and Booth Assistance
Prepare checklists and logistics for pop up stores or vendor events
Support setup and ensure materials are well organized
Assist onsite during events when required
5. Order and Fulfillment Support
Help with packing, labeling and dispatch coordination
Provide support during peak seasons and launches
6. Personal Assistance Tasks
Keep personal reminders and tasks well organized
Requirements
Strong organizational and multitasking skills
Clear, polite and professional communication
Ability to work independently with minimal supervision
Familiarity with basic office tools (Google Suite, Microsoft Office)
High level of discretion when handling sensitive information
Prior experience in admin, retail operations, boutique coordination or e commerce fulfillment is an added advantage
