Job Description

At Chambers Lab, we support lawyers and legal teams by handling the strategic, operational, and administrative functions that enable them to focus on practicing law. We are looking for an Executive Assistant who is highly organised, proactive, and able to operate confidently in a fast-paced, innovative environment.

This role provides direct executive-level and team support, manages high-level scheduling and coordination, and plays a critical part in ensuring smooth execution of business operations -- including handling communication, administrative follow-through, and supporting the team on events and business development initiatives.

Key Responsibilities



Manage Directors' calendars, appointments, and scheduling, ensuring smooth coordination across internal and external engagements. Monitor and manage incoming emails -- including drafting replies, filtering priorities, following up with clients, and ensuring timely communication. Assist clients in planning and coordinating their business development agendas, particularly when they are travelling (e.g., scheduling meetings, preparing itineraries, tracking follow-ups). Support finance and administrative operations, including invoicing, billing coordination, expense tracking, and documentation. Manage office and pantry supplies, maintain inventory lists, and coordinate purchases and replenishment. Organise internal team activities and provide general office support when required. Assist with event operations including logistics, invitations, registration tracking, vendor coordination, and on-ground execution. Handle data entry accurately and maintain databases such as client records, CRM pipelines, and vendor contacts. Generate simple weekly or monthly reports to track progress, action items, and upcoming deadlines.

Qualifications



Bachelor's degree is preferred, but diploma holders with strong relevant experience are encouraged to apply. Minimum 2 years of experience in an Executive Assistant / Personal Assistant / Secretary / Administrative role, preferably supporting senior management. Excellent written and verbal communication in English; proficiency in Mandarin is a strong advantage. Strong organisational skills with meticulous attention to detail and the ability to manage multiple priorities. High emotional intelligence and strong interpersonal skills -- able to communicate professionally with stakeholders at all levels. Proficiency in Microsoft Office; familiarity with CRM or project management tools is a plus. Demonstrated ability to work independently, exercise discretion, and handle confidential information. Comfortable working in a fast-paced, dynamic, and evolving environment.
Job Types: Full-time, Permanent

Pay: RM4,000.00 - RM5,500.00 per month
