*Suitable candidates from Malaysia / Philippines are encouraged to apply as this is a remote job* THE ROLE : We are currently seeking a proactive and passionate Executive Assistant who can play a meaningful role in providing comprehensive administrative and secretarial support to our COO. This position offers the opportunity to anticipate the needs of our executives, proactively serve as a liaison between internal and external stakeholders, and contribute to the achievement of our strategic goals and vision. With your impeccable attention to detail and ability to thrive in a fast-paced environment, you will be a valuable asset to our organization. RESPONSIBILITIES : Act as the initial point of contact for the COO, responsible for overseeing and organizing their calendar, scheduling appointments and meetings as necessary. Take charge of managing the COO\'s calendar, ensuring it is up-to-date and efficiently organized. Receive and assess incoming correspondence and communications, providing an initial evaluation for the COO\'s attention. Review various documents, including contracts, legal agreements, and non-disclosure agreements, while also proofreading them for accuracy. Prepare for both internal and external meetings, including tasks such as developing agendas, taking minutes, and compiling research and presentation materials. Handle complex travel arrangements, including flights, accommodations, and visa requirements, and conduct itinerary research and planning for business trips. Conduct research and analysis on an as-needed basis. Assist in the planning and execution of company-wide events, as required. Fulfill any additional tasks as assigned by the COO. REQUIREMENTS : A minimum of 3 years\' experience offering exceptional administrative support to C-suite executives. Previous work experience in fast-paced environments or startup organizations is highly beneficial. Possesses an amicable and pleasant demeanour, enabling effective collaboration with diverse stakeholders, while demonstrating a proactive and hospitable attitude. Excellent English communication skills, both verbal and written Demonstrates impeccable attention to detail and excels at managing multiple priorities within a fast-paced setting. Adaptable and resourceful, capable of providing immediate support and troubleshooting in various situations. Proven track record of anticipating needs and taking proactive measures. Maintains a high level of discretion, confidentiality, and professionalism at all times.
