Executive Assistant / Personal Assistant
to support an individual Family Office Investor who serves as the key bridge between clients and the principal investment company.
Position: Executive Assistant/ PA (Family Office)
Location: Denai Alam, Shah Alam
The Executive Assistant / PA will play a crucial role in managing the Investor's day-to-day operations, supporting client relationships, coordinating with private bankers, and participating in high-level social and business engagements.
This role requires flexibility, strong communication skills in
English and Mandarin
, and the ability to represent the Family Office in both professional and social environments.
Responsibilities:
Executive & Administrative Management
Provide full administrative, personal, and operational support to the Family Office Investor / Director.
Manage schedules, appointments, travel bookings, itineraries, and meeting coordination.
Prepare documents, reports, and expense summaries; handle confidential materials with discretion.
Assist with basic financial administration and follow-up on key action items.
Assist in the preparation and maintenance of investment profiles and portfolio reports, ensuring all documentation is accurate, organized, and readily accessible.
Client & Banker Engagement
Act as liaison between the Investor / Director and private bankers, brokers, consultants, and HNW (High-Net-Worth) clients (USD 5M+).
Support relationship-building with Singapore banks and financial institutions.
Participate in client meetings, ensuring professional representation at all times.
Event & Hospitality Support
Attend client dinners, networking events, and business entertainment sessions (primarily weekday/weekend evenings).
Engage confidently in social settings and consume alcoholic beverages when required for client networking.
Ensure polished presentation and maintain a warm, outgoing, and professional presence.
Travel Coordination
Accompany & Transport the Investor / Director on business travel within Malaysia and to selected overseas destinations.
Provide on-site support for meetings, events, and client engagements
Requirements:
Diploma/Degree in Business, Finance, Management or related discipline (preferred).
3-5 years' experience in private banking, wealth management, investment, previous business owner or Family Office environments.
Confident dealing one-to-one with high-net-worth individuals, especially from Hong Kong.
Fluent in
English and Mandarin
(spoken & written).
Well-groomed, professional, and comfortable with client-facing duties.
Flexible with working hours; willing to attend evening & weekend events when required.
Able to travel frequently with the Investor.
Must possess own transport.
Highly reliable, discreet, organized, and proactive.
Younger, below 30 y/o.
