Job Description


Job Brief:As an Executive, Corporate Secretary you\xe2\x80\x99ll help organize and prepare for meetings, draft meeting minutes, and make sure any follow-up tasks are taken care of. You\xe2\x80\x99ll keep our important records up to date, prepare resolutions, and handle filings with regulatory bodies like Bank Negara Malaysia and Bursa Malaysia. You\'ll also pitch in with other tasks to keep our corporate secretarial team running smoothly.Job Responsibilities:

  • Pre-Meeting Arrangements: Prepare all necessary pre-meeting arrangements, including organizing agendas, coordinating meeting schedules, and distributing meeting materials.
  • Minutes & Documentation: Assist in drafting minutes for Board, Board Committee, and Shareholders\' meetings, ensuring accuracy and clarity. Compile comments and feedback from these meetings for records and future reference.
  • Post-Meeting Tasks: Disseminate and compile action items from meetings, ensuring all tasks are communicated clearly and followed up on with the Management team.
  • Statutory Records Maintenance: Maintain and update statutory records and registers, ensuring compliance with the legal and regulatory requirements.
  • Circular Resolutions: Prepare and process circular resolutions, ensuring they are accurately drafted and properly executed.
  • Statutory Filing & Submission: Handle statutory filings and submissions to regulatory bodies, including Bank Negara Malaysia, Bursa Malaysia Securities Berhad, and the Companies Commission of Malaysia, adhering to deadlines and compliance standards.
  • General Support: Perform any other tasks assigned by the immediate superior, contributing to the efficient and effective operation of the corporate secretarial function.
Job Requirements:
  • Educational Background: Bachelor\xe2\x80\x99s degree in Law, Business Administration, Finance, Corporate Governance, or a related field.
  • Professional Qualification: Interest in pursuing professional certification (e.g., ICSA, MAICSA) is a plus.
  • Attention to Detail: Strong organizational skills and an eye for detail to ensure accuracy in meeting documentation and regulatory filings.
  • Communication Skills: Excellent written and verbal communication skills in English. Proficiency in Malay is an added advantage.
  • Tech Savvy: Proficiency with MS Office applications (Word, Excel, PowerPoint) and a willingness to learn specialized corporate secretarial software.
  • Fresh Graduates: Welcomed with open arms! Passion for corporate governance and an eagerness to learn is highly valued.
