Job Description




POSITION GENERAL SUMMARY

To support office administration related activities and manage the department\'s relevant standards.

ESSENTIAL POSITION FUNCTIONS

  • Finance and Procurement Management
  • Assist in procurement process (SAP, documentations, forms, etc.) for CEM projects, contracts and purchases;
  • Assist in managing payment process for CEM projects, contracts and purchases;
  • Assist in monitoring of CEM expenditure and revenue.
  • Petty Cash Management and custodian.
  • Project Management
  • Assist in managing and monitoring short and long-term projects related to CEM;
  • Execute monitoring program that was set by the department to ensure project goals are achieved ;
  • Track project performance of service provider / vendor ;
  • Report preparation on project performance and progress;
  • Coordinate and liaise with relevant department where necessary.
  • Contract Management
  • Assist in planning and monitoring of department\'s contract(s)
  • Assist in procurement activities
  • Maintain Contractual Records
  • Prepare documentation for payment confirmation
  • To obtain report from QA Officers and analyse issues and improvement needed from service/contract provider
  • Coordinate scheduled progress meeting with service/contract provider and act as minute takers
  • Coordinate and act as main liaison with service/contract provider.
  • Internal Auditor for CEM Service Standards
  • To work collectively with and support other team members on the Standards and Compliance Unit to obtain unit objecive.
  • Overall coordination and arrangements for project or contract associated meetings, including minutes writing whenever directed
Key Challenges
  • To effectively and efficiently manage relevant standards and its compliants of CEM department.
  • Able to work effectively with peers, senior and junior colleagues and other stakeholders.
  • To professionally resolve issues escalated by staff, passengers and stakeholders.

Skills
  • Excellent interpersonal, written and communication skills (multilingual is an advantageous).

Relevant Industries

INTERNAL
  • Bachelor\'s Degree
  • Diploma with 2 years relevant working experience in Supervisory role
  • Certificate / STPM with 3 years relevant working experience in Supervisory role
  • SPM with 5 years relevant working experience in Supervisory role
EXTERNAL
  • Bachelor\'s Degree with 1 year relevant experience.
Education

INTERNAL
  • Bachelor Degree/ Diploma preferably in Business Administration/ Management / Engineering or other related fields.
EXTERNAL
  • Bachelor Degree preferably in Business Administration/ Management / Engineering or other related fields.
