This role involves managing local and expatriate work permit applications, including renewals and other necessary permits. Additionally, it entails providing essential support to ensure effective communication with immigration authorities. The position also involves assisting a department or manager by handling daily administrative and operational tasks. Job responsibility:- Manage expatriate affairs comprehensively, overseeing work permits, termination processes, and communication with immigration authorities across Sabah, Sarawak, West Malaysia, and Labuan. Coordinate and ensure rig clearances with the Immigration Port, ensuring compliance before rig movements. Secure entry approvals for expatriates by liaising with relevant government bodies. Facilitate crew movement by collaborating with Sarawak authorities and related agencies. Collaborate with logistics, finance, and supply chain departments to support rig moves, purchase orders (POs), and invoice clearance. Contribute to recruitment activities through sourcing, interviewing, and facilitating onboarding procedures. Develop employment strategies catering to various manpower needs and categories. Provide guidance on global talent availability and recommend optimal hiring methods for project requirements. Oversee and manage employee reassignments, transfers, secondments, and promotions from initiation to completion. Maintain and update mobility policies aligned with business objectives. Manage Sarawak Trade License renewal by engaging with governmental bodies. Ensures provision of administration services including maintenance and cleanliness of office space, and bill payments as well as safeguarding the company assets to provide a safe, efficient working environment for the employees. Handle other administrative duties, general administrative and ad-hoc duties such as receiving calls, mailing and courier, stationery, and pantry items inventory, filing, etc. Handle issues/concerns regarding Admin matters with contractors/vendors/authorities/landlords, while maintaining good and professional business relationships. Provide regular reports on administrative costs and budgets. Collaborate with Immigration on work permit applications, tracking progress, and resolving issues for HR Business Partners. Fulfil any additional job-related tasks assigned periodically. Minimum requirements:- Degree in Business Administration or equivalent Minimum 3 - 5 years related experience Familiar with the relevant Malaysian, Sabah & Sarawak Immigration work processes & procedures. Able to manage mass hiring needs for local and overseas projects. Excellent verbal and written communication skills. Familiar with Malaysian Labour Laws and Employment Act.
