Job Description


Objective:The Executive - HR Operations (Operations Services Hub) will play an active role in our continuous efforts to help ensure a smooth onboarding process for new hires across all levels and work directly with the other HR teams to create and execute the recruitment & onboarding process. In addition, he/she will also support other ad-hoc HR operational duties relating to employee engagement events and the updating of the organisation chart.Key Responsibilities:Recruitment & Onboarding

  • Provides support on full recruitment cycle, including sourcing, selection and interview coordination
  • Ensure all the necessary documents (e.g. education cert, internal application form) are complete
  • Communicate with HR recruitment team and business operations to ensure smooth interview process
  • Coordinate with hiring managers and team on follow up actions for new hire onboarding
  • Ensure all the necessary documents (eg: reference check) and requirements (eg: CEI Course/Work pass) are complete
  • Communicate with HR operations and business operations to ensure smooth onboarding of new hires
  • Work closely with Training & Development team on new hires\' training arrangement
  • Ensure all employment terms are complying to the latest Employment Act
  • Develop, update and maintain the workflow and processes
  • Offer, prepare and execute the signing of LOA for local and sourcing hub new hires
  • Updating and maintenance of master tracking lists for recruitment and onboarding
  • Prepare new hire write ups and EDMs
Event Management
  • Assist in the planning and roll-out of employee engagement events
  • Taking minutes during the meeting, liaising with vendors on the event arrangement
  • Coordinate with respective business units on participation headcount for events
  • Prepare event messages for dissemination during company-wide events
  • Prepare and collate attendance lists for divisional participation for events
Organisational Chart
  • Facilitate the update of the organisation chart on a monthly basis with respective managers
  • Ensure the correct designation, department, unit and reporting structure is reflected in the organisation chart for Manager\'s review and confirmation
Qualification:
  • Min Diploma in Business/ Human Resource Management
  • 1 - 2 years of HR related experience (Preferably in the recruitment industry)

  • Able to multi-task and work within tight deadlines
  • Excellent communication skills in English
  • Strong interpersonal skills and able to interact with staff at all levels
  • High degree of initiative and integrity
  • Able to work independently with minimum supervision
  • Good coordination & follow up skills
  • Good planning and prioritization skills
  • Ability to negotiate and solve problems to manage tough situations
  • Proficient in MS Word, Excel & PowerPoint
