Job Description

EXECUTIVE, HUMAN RESOURCE OPERATIONS (HRO) - GLENMARIE, SHAH ALAM JOB PURPOSE: Execute HRO services including of record, administer and maintain employee\xe2\x80\x99s information in HR Management System (HRMS), issuance of employees related correspondences, updating employee\'s document in employee\xe2\x80\x99s personal file (Payroll B), verify and provide data/ information/ report to requestor and make Internal communication via Human Resource (HR) official email to support customer needs. KEY ACCOUNTABILITIES: 1*. HRMS \xe2\x80\x93 BOTH UPDATES with different structure* Current System: i. Orisoft (New)

  • Updating to record employee\xe2\x80\x99s information & mobilisation for salary process.
ii. OpenSuite (Old)
  • Updating to record employee\xe2\x80\x99s information & mobilisation for claims process.
Major Activities:
  • Updating data for new employee (Employee\xe2\x80\x99s information) \xe2\x80\x93 New Join
  • Updating data on employee\xe2\x80\x99s mobilisation in the system (Transfer/Restructure/Secondment/Exit/Confirmation/Promotion/Upgrade/ Leave approver/Claim Reviewer/Approver, etc)
  • ESS (e-Profile) Approval:
  • Verify and approve employee personal information through online updates. (Personal details/family member/qualification/bank details) within 1 to 3 working days).
  • Update system manually for employee updates through email (if not applicable in e-Profile)
  • Assist and support in case of problems during the submission of the application
  • Briefing on HR System (Meet & greet session with new BERNAS staff).
  • Liaise with system consultant by defining and analysing any issue to prevent system error or if problem occurred.
  • Act as an end-user support to resolve any issue
  • Involve in all phases for any module related or change request in order to support current HRMS system implementation/ enhancement. (Orisoft)
2. Dimension Code (Cost Centre) Updates for Budget Setup of Employee\xe2\x80\x99s Salary and Employee\xe2\x80\x99s Claim i. Employee\xe2\x80\x99s salary (Current System: Orisoft) ii. Employee\xe2\x80\x99s Claim (Current System: AX) Major Activities: For Restructure Only
  • 1 set structure (Entity, Location, Division, Department, Unit) = 1 set Dimension Code)
Process Involves.:
  • Create new name for each structure.
  • Drag & Drop for 1 set of new structure.
  • Identify and prepare new structure set listing to PIC Finance Department to get new dimension code for any changes of the structure set.
  • Update the new dimension code given by PIC Finance
  • Setup entity security by each user in HRMS (About 10 users)
3. Correspondence:
  • (Confirmation/ extended confirmation letter, transfer/ postponement transfer letter, secondment letter, resignation letter, re-designation letter, relocation letter, allowance letter, termination of allowance letter, bonus letter, increment letter, promotion letter, salary revision letter, employer confirmation letter for bank loan/external purposes, etc)
4. Employee\xe2\x80\x99s Personal File:
  • Check and monitor updating process of employees document and personal file movement by person in charge of \xe2\x80\x98Bilik Sulit\xe2\x80\x99
  • Ensure the \xe2\x80\x98Bilik Sulit\xe2\x80\x99 is in orderly manner.
5. Claim Administrative: Current System: i. Claim Database - SQL Server Management Studio ii.Claim Workflow - K2.Net Major Activities:
  • Run the database refresh process if occur an error time out
  • Add profile setup based on request from internal
  • Reset employee\'s claim if there\'s a new setup/changes has been made in order to proceed the submission of claim process
  • Setup direct assign approver for claim based on request (Special workflow)
  • Setup reviewer and approver for telephone claim or any changes updates based on payroll group (A/B)
6. Data/ Reports/ Survey (Ad hoc/ Monthly/ Yearly Basis):
  • Prepare/ verify data & report based on request and provide information/ fill out the survey in a timely manner.
  • Employees List for 04th every month to 12 PIC\xe2\x80\x99s as to date with different format based on approval (Listing of Emp No/ Emp Name/ Position/ Grade/ Entity/ Location/ Division/ Department/ Unit/ Branch/ etc)
  • Movement report on 17th every month to 8 PIC\xe2\x80\x99s as to date with different format based on approval by Head of Group Human Resources Division (Listing of New join/ Transfer/ Restructure/ Secondment/ Exit/ Confirmation/ Promotion/ Upgrade/ etc)
  • Any ad hoc employee\xe2\x80\x99s CV based on approval by Head of Group Human Resources Division.
  • BERNAS Headcount with demographic report on 7th every month.
  • Monthly BERNAS Headcount for onboarding slide on 7th every month.
  • Employee\xe2\x80\x99s claims report on 2nd every month to the head of Compensation & Benefits Department
  • Department of Labour/ Department of Statistics, Malaysia/ Others Related (Quarterly/ Yearly)
  • Any ad hoc data/ report based on approval by Head of Group Human Resources Division.
  • Employment Verification from internal/ external parties. (Bank/Insurance/DRB-HICOM/etc)
  • Support and assist the personal loan/ car purchasing/ insurance\xe2\x80\x99s claim/ etc in verifying the employment details with consent from employee (Via e-mail).
  • Employment Verification for Former Employee; Support and assist the Employment Background Screening Company in verifying the employment details with consent from ex-employee (Via e-mail).
7. Log Book:
  • Record any transaction of letter issuance, HRMS updates (Orisoft & Opensuite) and dimension code updates for employee\xe2\x80\x99s salary.
  • Record each employee\'s inquiries to HRO with the status (New/In Progress/Solved/Others).
8. BERNAS Portal Lamankita/ RiCentre:
  • Upload new/ modify/ delete document or HR content in Portal BERNAS Lamankita/ RiCentre
9. Memo/Form:
  • Prepare and issue memo for Payroll (acting/allowance/salary for new join employee) on monthly basis.
  • Complete and submit Padiberas Nasional Berhad (PBN) vendor master maintenance form to Finance Department for employee\xe2\x80\x99s claim payment purposes. (New join employee/ change of entity/company)
10. Internal Communication:
  • Draft/ blast email (HR representative) to employees on any required info via official human resource e-mail.
11. Any Other Project/ Task Required From Time To Time:
  • Perform accordingly for others assigned Project/task.
JOB REQUREMENTS: 1. Qualification:
  • Bachelor\xe2\x80\x99s degree in Computer Science, Computer Engineering, Information Technology, Human Resource Management or a related field.
2. Functional/Technical Skills & Knowledge:
  • Fundamental knowledge on HR system (Priority in Orisoft System)
  • Computer skills
  • Excellent communication skills, both verbal and written (Priority in Malay Language)
  • Business awareness/focus
  • Microsoft Office (Pivot, mail merge, macro, etc)
  • Microsoft form/ google form
  • Strategic thinking
  • Data Analysis
  • Employment act, Personal Data Protection Act (PDPA) or any related act.
3. Years of Experience:
  • Minimum 3 years of related experience
Job Type: Full-time Salary: RM2,700.00 - RM5,400.00 per month Ability to commute/relocate:
  • Shah Alam: Reliably commute or planning to relocate before starting work (Required)
