Job Description


JOB PURPOSE

The Executive - International Office is responsible to manage all matters relating to student visas/passes for international students including liaising with Education Malaysia Global Services (EMGS)/Immigration/Ministry of Higher Education (MOHE)/Embassies and other relevant authority. In addition, he/she is to provide high quality customer services for students, prospective students, guests and visitors in the International Office.

KEY AREAS OF RESPONSIBILITIES

Student Pass & Visa matters

1. Work and maintain high customer service standards in all aspects of work

2. Handle the issuance of required documents for EMGS/Immigration authority and Ministry of Higher Education pertaining to Student Passes and Visas application for international students and to provide assistance on any other related immigration matters

3. Handle the issuance of required documents for immigration authorities on all matters pertaining to applications for student pass endorsements/renewals, cancellation of student pass and visa and to provide assistance on any other related immigration matters

4. Ensure correct and accurate feedbacks/responses pertaining to EMGS and Immigration.

5. Liaise with EMGS/Immigration authorities and relevant authorities such as embassies (when needed) on all matters pertaining to applications for student visas/passes as well as renewals of visas/passes

6. Monitor on student pass endorsement, special pass and renewals expiry date and to avoid students from overstay

7. Monitor and follow up with students who are exiting and graduating to ensure proper cancellation is done or to obtain exit stamp from the student if he/she has left Malaysia.

8. Ensure that applications for student visa/pass are processed promptly and in a timely manner for all international students

9. Ensure that all international students are well briefed on all the visa/student pass matters

10. Inform international students regarding relevant changes in EMGS/Immigration laws and regulations, as and when required.

11. Ensure all reports/visa application consolidated list are updated accordingly

12. Liaise with the relevant authorities (such as police) if students are detained by the authorities

13. Ensure all documents pertaining to International Office work processes are adhered and updated

14. Handle all correspondence and communication on visa/student pass promptly and efficiently

15. Ensure the accurate international students data base are maintained, update into the CMS

Record and Filing

  • Ensure the management of record and filing on all related matters to Student Passes and Visas Unit is up-to-date. This includes all documents pertaining to International Office work processes in handling all Ministry of Higher Education and Immigration/EMGS requirements.
Other matters
  • To support Counter Services whenever it is necessary
  • Assist in organising and conducting orientation briefing to new international students
  • Ensure that all international students are well-brief on all the student pass matters during their stay at the University
  • Work cooperatively with other sections and departments of the University to assure that the needs of international students are being addressed
  • Undertake any other duties that may be assigned from time to time.

JOB SPECIFICATION

MINIMUM ACADEMIC/PROFESSIONAL QUALIFICATION
Diploma or Degree in Counselling / Psychology / Social Science / Marketing / Business or related discipline

RELATED EXPERIENCE
At least 3 (three) year of working experience, preferably in an educational institution with involvement in international office.

COMPETENCIES (KNOWLEDGE, SKILLS & ABILITIES)
  • Knowledge of counselling principles, methods and techniques
  • Knowledge of and skills in using computer software e.g. Microsoft software applications
  • Knowledge of immigration procedures and visa regulations
  • Ability to evaluate students\' transcripts and records
  • Ability to work with minimal supervision
  • Strong interpersonal and communication skills with ability to communicate comfortably and effectively with students and parents in a courteous and professional manner
  • Possess a good command of English, Bahasa Malaysia and/or Mandarin
  • Possess good planning, organising, coordinating, presentation and time management skills
  • Creative, resourceful, customer focused, self motivated and results oriented
